Job Description

Position Overview

The Receivables Management Specialist is responsible for handling transactions that represent revenue, donations, and funding. This role encompasses a variety of complexities arising from diverse business functions and industry affiliations, including federal contracting, education, staffing, social services, and grant compliance. The specialist will investigate and resolve discrepancies and inquiries related to accounts receivable.

Key Responsibilities

  • Adhere to internal controls and safeguards for the receipt of revenues, donations, and payments.
  • Maintain the billing system by accurately posting and recording all receivable transactions.
  • Generate and distribute invoices to clients and stakeholders.
  • Ensure the accuracy of invoices before distribution.
  • Research and resolve billing discrepancies with clients, providing timely communication of results.
  • Collaborate with both internal and external stakeholders to address and resolve receivable-related issues.
  • Compile and present detailed reports on receivables and overdue accounts.
  • Reconcile the accounts receivable module with the general ledger within set deadlines.
  • Review and reconcile Balance Sheet accounts on a monthly basis as assigned.
  • Complete month-end and year-end closing procedures within established timelines.
  • Maintain organized filing systems for documentation.
  • Perform other related duties as assigned.

Supervisory Role

This position does not include supervisory responsibilities.

Required Skills & Qualifications

  • High School Diploma or equivalent required.
  • One to three years of experience in accounting and finance with progressive responsibilities.
  • Proficient in Microsoft Office, Salesforce, Great Plains, and Dynamics 365 software.
  • Strong commitment to teamwork within a diverse environment.
  • Ability to seek assistance when faced with challenges in completing tasks or meeting deadlines.
  • Excellent organizational, planning, and time management skills.
  • Strong interpersonal and communication skills, capable of effectively conveying key information to clients, stakeholders, and team members.

Physical Requirements

  • Ability to lift up to 30 pounds occasionally.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Frequent walking, balancing, stooping, kneeling, crouching, and effective communication are required.
  • Ability to manage moderate levels of stress is essential. Specific vision abilities required include close vision, distance vision, depth perception, and the ability to adjust focus.
  • Capability to use hands and fingers for operating a telephone and keyboard.
