Job Description

Position Overview:
The Healthcare Access Coordinator plays a crucial role in facilitating patient navigation through the healthcare system, starting from the initial diagnosis or referral point. This position involves collecting essential demographic, employment, and insurance information necessary for patient registration while confirming insurance coverage and benefits. The coordinator gathers relevant medical documentation for the patient's first appointment with the physician, including diagnostic tests, surgical notes, and progress reports. Acting as a bridge between patients, families, outpatient clinics, primary care providers, and various support services, this role also includes obtaining authorizations for specific services as directed by healthcare providers. Additionally, the coordinator assists patients within the clinical environment and performs other related duties as required.

Qualifications and Experience:
A High School Diploma or GED is required, with one year of college education preferred. A minimum of one year of experience working with pediatric patients is highly desirable. Candidates should have at least one year of experience in a medical office front desk role or a hospital-based call center that manages scheduling for multiple clinics or departments.

Skills and Knowledge:
Proficiency in medical terminology is essential. Familiarity with age-appropriate vital sign parameters and comprehensive knowledge of various medical insurances and their application in a clinical setting is required. A thorough understanding of ICD-9 and CPT coding, particularly in relation to HMO authorizations, is necessary.

Technical and Motor Skills:
Proficient in utilizing a range of office equipment and tools, including LLEAP functions (scheduling, referrals, outpatient documentation), Trace fax systems, and CCS PEDI systems. Competence in Microsoft Word, Excel, PowerPoint, Outlook, and LLEAP systems is mandatory.

Interpersonal Skills:
Strong communication skills are vital; telephone etiquette and effective communication, especially with individuals of varying comprehension levels, are essential. The candidate should be resourceful in obtaining necessary assistance, maintain a positive demeanor under changing circumstances, and uphold patient confidentiality while fostering a supportive atmosphere for patients, families, physicians, and staff across departments.

Cognitive Abilities:

Ability to interpret and comprehend patient records and various reports, including diagnostic procedures and laboratory results; critical thinking and problem-solving skills are essential. The candidate must be capable of making sound decisions, managing workload effectively, multitasking, recalling information accurately, and paying close attention to detail. Basic mathematical skills and the ability to assess, evaluate, and analyze data are also required.

The ability to work independently with minimal supervision is crucial.

Sensory Abilities:

Must be able to distinguish colors as necessary; capable of writing, hearing, reading, and speaking sufficiently for general conversation both in person and over the phone; able to identify and differentiate various sounds in the workplace; must have adequate vision to read computer screens and written documents pertinent to the role.


Certifications:
Certification as a Medical Assistant or Certified Nurse Assistant (CNA) is required. Basic Life Support (BLS) Certification is also mandatory.
