Job Role Summary:
The Healthcare Access Coordinator is committed to ensuring optimal first impressions for our patients, clients, and healthcare providers. This role is responsible for patient registration, coordinating referrals, and scheduling appointments within the department. The Coordinator manages intricate appointment arrangements that connect clinical visits, consultations, and ancillary services.

Moreover, this position guarantees that patients receive all pertinent information regarding their insurance coverage and benefits related to their appointments, informs them of their financial responsibilities, and guides uninsured or underinsured patients to financial advisors.

The Healthcare Access Coordinator also engages in communication with various departments.

Essential Functions and Responsibilities:
1. Oversee the scheduling of patient appointments (including new, follow-up, cancellations, and rescheduling requests)
2. Collect accurate patient information necessary for medical records, regulatory compliance, billing, and third-party payer requirements
3. Validate medical, demographic, insurance, and financial information promptly and courteously in appropriate systems to ensure the integrity of the master patient index and the creation of accurate appointments
4. Explain pre-appointment preparation requirements
5. Provide patient education regarding coverage and liabilities; communicate potential payment obligations and connect patients to a financial advisor if necessary
6. Foster collaboration and success within the service center
7. Act as an integrated team member and work collaboratively with other staff and providers across the system to enhance patient experience and departmental efficiency
8. Maintain accountability for the accuracy of data collected and entered into systems
9. Electronically verify patients' demographic and insurance information
10. Participate in quality improvement initiatives as requested by supervisor/manager
11. Adhere to cash handling policies and procedures

Job Requirements:


Accredited Bachelor's degree; OR Minimum one (1) year of experience in call center, patient registration, scheduling, office, banking, customer service, or a related medical field utilizing computers required.

High School Diploma or equivalent required along with post-secondary education courses or certification in business, computer applications (Word, Excel, etc.), and Office Management; an Associate's degree is preferred.

Completion of outpatient registration program with a passing score of 90% or higher is mandatory.
Annual competency exams must be passed as required.
Maintain 95% accuracy on registration quality audits.

Knowledge, Skills & Abilities:
Demonstrated proficiency in using PCs (and navigating multiple applications), MS Office, and general office equipment (e.g., printers, scanners, electronic signature pads, copy machines, multi-line phones, etc.) is required.
Excellent keyboarding/data entry skills are essential.
Detail-oriented and organized, with strong analytical and problem-solving capabilities.
Ability to work independently and collaboratively in a fast-paced environment.
Strong written and verbal communication skills with excellent spelling.
