Position Objective: To ensure a well-structured office environment in alignment with organizational policies and protocols. Responsible for the care and support of clients and visitors, while facilitating communication with family members and assisting clinical personnel with administrative tasks.

Work Schedule: Monday - Thursday 2pm - 8pm

Qualifications/Skills:

• High school diploma or equivalent

• Excellent customer service skills and a service-oriented mindset

• Experience with telephone systems or switchboards

• Basic understanding of mental health concepts

• Strong organizational and multitasking capabilities

• Effective and efficient communication skills

• Ability to work independently as well as collaboratively

• Proficient in MS Word, Excel, and Outlook

• Typing speed of at least 35 wpm and familiarity with ten-key entry

Key Responsibilities:
1. Adhere to scheduled work hours and any additional hours as required. Overtime may be necessary.
2. Manage incoming calls and direct them appropriately.
3. Welcome clients and visitors, processing payments as needed.
4. Maintain accurate scheduling logs, including referrals and intake appointments.
5. Conduct financial assessments with clients, updating and registering them in the database.
6. Ensure all documents are complete and scanned into the electronic health record system.
7. Handle internal and external mail distribution.
8. Input data and generate reports as assigned.
9. Review clinical data and address discrepancies with supervisors.
10. Provide assistance to the office support team as required.
11. Understand and comply with the principles established by the corporate compliance program and code of ethics.
12. Deliver exceptional customer service consistently to every individual.
13. Serve as a role model for colleagues and clients, demonstrating positive relations.
14. Undertake additional responsibilities as assigned by management.

Physical Requirements/Work Time Distribution:
1. Vision: Ability to read printed and/or handwritten materials from various sources 75-100%
2. Hearing: Must be able to hear well enough to communicate with coworkers 50-79%; answer incoming calls 0-24%; transcribe from dictation equipment 0-24%
3. Mobility: Must have the ability to move between departments within the facility 25-49%
4. Climbing/Stooping/Kneeling: 0-24%
5. Lifting/Pulling/Pushing: Must exert up to 20 pounds of force occasionally and/or up to 5 pounds of force frequently to lift or move objects 25-49%
6. Fingering/Grasping/Feeling: Must be able to operate a keyboard for computer work and phone equipment for calls 50-74%
7. Sitting: Must be able to sit for extended periods while using the computer 50-74%
