The Metals Service Center Institute (MSCI) is a prominent trade association representing the industrial metals sector. Its members primarily include distributors and processors of steel, aluminum, and other industrial metals. The organization offers a range of services to its members, such as industry insights, educational programs, and advocacy efforts. Additionally, MSCI organizes events and conferences that facilitate networking and the exchange of best practices among members.
The Administrative Coordinator will serve as the main liaison between members, staff, and the President & CEO. This role entails managing all facets of the President & CEO's schedule, travel arrangements, and expense documentation.
Key Responsibilities:
- Deliver high-level administrative assistance to the President & CEO.
- Act as the primary contact for daily operational and administrative matters.
- Draft written communications, oversee incoming and outgoing correspondence, and maintain both electronic and physical filing systems (including expense reports, presentations, and reports).
- Coordinate travel logistics and manage the President & CEO's calendar, which includes complex travel arrangements and meetings (virtual, telephonic, and in-person).
- Prepare comprehensive itineraries with detailed information on transportation, accommodations, meeting venues, and directions as needed.
- Monitor the President & CEO's messages daily (voice, email, and postal).
- Schedule all meetings for the Board of Directors, Board Committees, and other relevant parties, including virtual meetings and monthly staff gatherings.
- Compile all necessary materials for review, including visual aids, minutes, and communications with Directors' administrative assistants, ensuring accurate maintenance of shared materials.
- Coordinate audio-visual requirements for presentations.
- Maintain and update the iMIS database to ensure the accuracy of the President & CEO's contacts and calendar.
- Participate actively in the preparation of managerial and financial reports and presentations on a monthly, quarterly, and annual basis.
- Collaborate monthly with the Senior Staff Accountant and relevant teams to update forecasts and assist with end-of-month closing activities.
- Engage frequently with senior management from member companies and external partners.
- Support the recruitment, retention, and engagement of members by promoting MSCI's value proposition.
- Assist the Office Manager and Senior Staff Accountant in maintaining the physical office environment.
Qualifications:
- Bachelor's degree or equivalent experience preferred.
- 2 to 3 years of experience in general office support, including proficiency in software applications, data entry, and management.
- Knowledge or experience in the metals industry is preferred.
- Creativity and skills in graphic design are highly recommended.
- Strong proficiency in MS Office and experience with Adobe products (Publisher, Illustrator, Acrobat), along with a willingness to learn new technologies.
- Demonstrated customer service skills, problem-solving abilities, and capacity to manage multiple priorities effectively.
- Excellent communication and interpersonal skills are essential.
- Strong organizational skills with a keen attention to detail are required.
- Ability to interact with a diverse range of members and stakeholders is necessary.
