We are in search of a meticulous and systematic Accounting Specialist to become a vital part of our organization. The successful candidate will oversee a variety of financial and administrative duties, ensuring the integrity of financial documentation and facilitating the efficient functioning of our operations. This position necessitates expertise in accounting software, particularly QuickBooks, along with proficiency in Excel, and a solid background in accounts receivable (A/R), accounts payable (A/P), and debt collection.

Primary Responsibilities:

  • Financial Record Keeping: Ensure precise financial documentation and accurate recording of all transactions. Conduct general administrative tasks such as filing, data entry, and document organization.
  • QuickBooks Oversight: Administer financial accounts through QuickBooks, including bank reconciliations and ledger upkeep. Produce financial statements as required.
  • Excel & Financial Insights: Leverage Excel for financial data interpretation, reporting, and expense tracking. Develop and manage spreadsheets for budgeting and financial forecasting.
  • Accounts Receivable Management: Oversee the invoicing process and guarantee prompt payment collection. Track customer accounts and follow up on outstanding invoices.
  • Accounts Payable Management: Validate and process invoices, ensuring accuracy and timely payments to suppliers. Maintain comprehensive records of all transactions and address any discrepancies.
  • Debt Collection: Initiate and manage efforts to collect overdue accounts while maintaining professional communication with clients.
  • Payroll Administration: Assist in or oversee the preparation and execution of weekly payroll, ensuring accurate and timely employee compensation.
  • Human Resources Support: Aid the HR department with fundamental tasks such as maintaining employee records and assisting with onboarding procedures.

Qualifications:

  • Demonstrated experience as an accounting professional or in a comparable position.
  • Proficient in QuickBooks and Excel.
  • Strong grasp of accounting principles and practices.
  • Exceptional attention to detail and organizational capabilities.
  • Ability to juggle multiple responsibilities and adhere to deadlines.
  • Effective communication skills and the capacity to work autonomously.
  • Experience with A/R, A/P, and payroll administration is advantageous.
  • Familiarity with basic HR responsibilities is a plus.

Education Requirements:

  • High school diploma or equivalent is mandatory.
  • Additional certification in bookkeeping or accounting is beneficial.
