Overview:
The Spa Guest Services Coordinator is essential in delivering exceptional service to our guests and visitors.


This role involves managing all spa-related appointments, facilitating guest check-ins and check-outs, and assisting with retail sales, as well as maintaining the cleanliness of the spa's public areas throughout the day, including the relaxation area and locker rooms.


Responsibilities:
Employees are expected to be consistently attentive, friendly, helpful, and courteous to all guests, managers, and fellow associates.
Be thoroughly familiar with the guest journey to foster a superior guest experience.
Adhere to proper opening and closing procedures as outlined in checklists.
Possess in-depth knowledge of treatments, equipment, products, and retail items to ensure guest comfort.
Understand the complete reservation process for spa services and activities, including handling reservations, cancellations, and no-shows. Follow the reservation structure for treatment sequences, upselling, promotions, discounts, and complimentary services.
Review daily scheduling based on business demands and anticipate guest arrivals. Aim to resolve any concerns prior to guest arrival.
Check guests in and verify the accuracy of spa services. Make adjustments according to guest preferences and note for future visits if applicable.

Assist with billing for all spa services and retail sales, including preparing receipts and collecting payments for services rendered and products sold.

Stay informed about current promotions and offers for the Spa and Hotel.
Assist with weekly updates to visual merchandising.

Handle all administrative functions of the Spa, including using Spa software, maintaining inventory of supplies, answering telephones, making appointments, and addressing inquiries.

Ensure locker areas are tidy and stocked with robes and slippers.

Maintain cleanliness in wet areas, promptly removing excess water to prevent hazards, and replenishing towels and amenities throughout the day.

Collect soiled linen from locker rooms and dispose of it in the laundry cart with minimal guest interaction.
Sanitize slippers according to procedure.
Stock the relaxation area with beverages and snacks, keeping the seating area tidy.
Inspect the relaxation area at least every 15 minutes, removing used cups and glasses.
Inspect restrooms, clean, and replenish as needed.
Collect deliveries from various departments in the hotel, such as beverages from the kitchen and deliveries from engineering.

Manage linen handling, from placing bins in the collection area to refolding and storing fresh linen and steaming select bed linens.

Escort guests to locker rooms and provide tours.
Conduct periodic checks of the fitness center to ensure cleanliness.
Assist with event setup and breakdown.
Take food and beverage orders from the spa wellness menu, serve, clear, and collect payment.
Provide Spa tours as necessary.
Monitor and maintain the cleanliness and orderliness of the facilities throughout the day. Report any maintenance issues and follow up for swift resolution.
Assist locker attendants as needed.
Support all areas of spa operations as requested by management.

Qualifications:


Must effectively communicate both verbally and in writing with all levels of employees and guests in an attentive, friendly, courteous, and service-oriented manner.

Must be adept at listening to, understanding, and clarifying concerns raised by employees and guests.
Must be capable of multitasking and prioritizing departmental functions to meet deadlines.
Approach all interactions with guests and employees in an attentive, friendly, courteous, and service-oriented manner.
Attend all hotel-required meetings and training.

Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.

Uphold high standards of personal appearance and grooming, including wearing the proper uniform.
Comply with Highgate Hotel Standards and regulations to promote safe and efficient hotel operations.
Maximize efforts towards productivity, identify problem areas, and assist in implementing solutions.
Must be effective in handling problems, including anticipating, preventing, identifying, and solving issues as necessary.
Must be able to understand and apply complex information, data, etc., from various sources to meet appropriate objectives.
Must be able to cross-train in other hotel-related areas.
Must maintain confidentiality of information.
Must demonstrate initiative, including anticipating guest or operational needs.
Perform other duties as requested by management.
Always maintain a friendly and warm demeanor.
Hygiene is critical in this environment due to the proximity of working with clients.


At no time is cigarette smoke allowed to be on the hands, clothes, or breath of a spa employee during a shift.

Flexible and long hours may be required.

Medium work – Exerting up to 50 pounds of force occasionally, and/or 25 pounds of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.

Associate or bachelor's degree preferred.
1-year experience in a spa or related field preferred.
1-year retail experience preferred.
