Job Summary

University of Toledo Physicians is seeking a highly skilled Patient Service Representative to join our team. As a key member of our clinical support staff, you will be responsible for providing exceptional patient care and administrative support to our physicians and patients.

Key Responsibilities
  • Answer and direct phone calls in a timely and professional manner, ensuring that patients receive prompt and courteous service.
  • Greet patients, physicians, and visitors, and direct them to the appropriate staff or waiting area.
  • Prepare documentation prior to visits, ensuring that current co-pays and outstanding balances are collected at the time of service.
  • Triage, compose, and route messages from patients and other customers to the appropriate recipient, completing follow-up as needed.
  • Verify demographic data and scan insurance cards and identification into the electronic health record (EHR), ensuring that current information is obtained.
  • Accurately provide information to outside customers, hospitals, pharmacies, and other healthcare providers to verify patient information recorded in the medical record.
  • Schedule patient appointments accurately, following division-specific guidelines and in a timely fashion, and enter all patient appointments in the scheduling application, ensuring that patient demographic details are captured.
  • Process patient portal areas in the EHR for appointments and cancellations, and enter all patient appointments in the computer, prepare patient charts, verify insurance verification has been completed, and keep track of status on preauthorization.
  • Responsible for payments received at the office, adhering to the UTP Cash Handling Policy and Procedures, and print daily reports for cash out functions and report any discrepancies to the proper contact for corrections.
  • Make bank deposits/cash collections according to the UTP Policy and Procedures, as applicable.
  • Assist with monthly reporting for scheduling and testing as ordered by a physician, and retrieve and distribute daily mail appropriately.
Requirements
  • High School Diploma or Equivalent required.
  • Prior experience with a multi-line telephone system, data entry, and keyboarding skills.
  • Excellent written and verbal communication skills, organization, and ability to multi-task as needed.
  • Critical thinking skills and ability to work in a fast-paced environment.
Preferred Qualifications
  • Associates Degree or Bachelor's Degree in a related field.
  • Understanding of anatomy, physiology, and medical terminology.
  • Knowledge of EMR software and experience with electronic health records.
Working Conditions

Primarily working inside in a well-lit, well-ventilated area.
