Job Title: Patient Service Representative

At University of Toledo Physicians, we are seeking a highly skilled and detail-oriented Patient Service Representative to join our team. As a key member of our front office staff, you will play a vital role in delivering exceptional patient experiences and supporting our team of healthcare professionals.


Key Responsibilities:
  • Provide exceptional customer service to patients, physicians, and visitors, ensuring a smooth and efficient experience.
  • Answer multi-line phones in a timely and professional manner, preparing messages for staff and maintaining the voice messaging system.
  • Prepare documentation prior to visits, ensuring current co-pays and outstanding balances are collected at time of service.
  • Triage, compose, and route messages from patients and other customers to the appropriate recipient, completing follow-up as needed.
  • Verify demographic data and scan insurance cards and identification into the electronic health record (EHR), ensuring current information is obtained.
  • Accurately provide information to outside customers, hospitals, and pharmacies to verify patient information recorded in the medical record.
  • Schedule patient appointments accurately, following division-specific guidelines and in a timely fashion, entering all patient appointments in the scheduling application.
  • Send and receive patient records, obtain outside notes, reports, and referrals, and manage charts to ensure information is completed and filed appropriately.
  • Process patient portal areas in EHR for appointments and cancellations.
  • Enter all patient appointments in the computer, prepare patient charts, verify insurance verification has been completed, and keep track of status on preauthorization.
  • Responsible for payments received at the office, adhering to the UTP Cash Handling Policy and Procedures.
  • Make bank deposits and cash collections according to the UTP Policy and Procedures.
  • Assist with monthly reporting for scheduling and testing as ordered by a physician.
  • Retrieve and distribute daily mail appropriately.
  • Reschedule patients in the event of an emergency or cancellation, as set forth by the Medical Director or Practice Administrator.
  • Perform special projects as assigned to maximize department revenue cycle operations.
  • Attend required meetings and participate in committees as requested.
  • Adhere to workflow design established for the department and meet all job performance standards.
  • Maintain confidentiality in all matters concerning the practice and patients, per HIPAA policy.
  • Maintain a clean and safe work environment.
  • Maintain a professional appearance and possess a positive patient-centered focus at all times.

Requirements:
  • Education: High School Diploma or Equivalent
  • Skills:
    • Prior experience with a multi-line telephone system
    • Data entry and key boarding skills
    • Excellent written and verbal communication skills
    • Organization and ability to multitask as needed
    • Critical thinking skills
  • Years of Experience: 6 months of healthcare industry experience

Preferred Qualifications:
  • Education: Associates Degree or Bachelor's Degree
  • Skills:
    • Understanding of anatomy, physiology, and medical terminology
    • Knowledge of EMR software
  • Years of Experience: 2+ years of relevant experience

Working Conditions:

Primarily working inside in a well-lit, well-ventilated area.
