Job Overview

Hamilton-Madison House is a dedicated nonprofit organization focused on enhancing the living standards of its community, particularly in the Two Bridges/Chinatown region of Manhattan's Lower East Side. The organization offers a diverse array of programs and services aimed at improving the quality of life for all residents in the area and across New York City's five boroughs, including childcare, youth development, senior services, behavioral health, and immigrant and community services.

The primary function of the Accounting Specialist is to assist the Finance team in overseeing daily financial operations, budgeting, and reporting.

Key Responsibilities
  • Provide accounting assistance for government contracts, including budget management, financial reporting, voucher preparation, and expense justification for drawdowns.
  • Support the monthly closing process and financial reporting, collaborating regularly with Finance Department colleagues and offering assistance as needed.
  • Report directly to the Chief Financial Officer (CFO), ensuring a high level of accountability and responsibility.
  • Process bi-weekly payroll and handle other payroll-related tasks as assigned by the CFO.
  • Record and manage Accounts Receivable and daily banking transactions.
  • Update Accounts Payable, issue checks, and manage other payments as required.
  • Assist in the monthly closing of financial records and general ledger entries.
  • Help prepare financial statements (monthly, quarterly, and annually) along with supporting schedules.
  • Contribute to the preparation of financial reports for funding sources as necessary.
  • Support financial analysis and ensure compliance with internal policies and Generally Accepted Accounting Principles (GAAP).
  • Maintain current knowledge of GAAP, federal and state policies, directives, and accounting changes.
Qualifications
  • 2-3 years of relevant experience, ideally within the finance department of a nonprofit organization.
  • Bachelor's degree in Accounting or Finance.
  • Strong financial analysis capabilities.
  • Proficiency in Microsoft Office applications, with advanced Excel skills required.
  • Highly organized and detail-oriented, capable of managing multiple projects with deadlines.
  • Excellent interpersonal, teamwork, and communication skills, with the ability to build collaborative relationships with staff.
