Position Overview

Your Responsibilities:

Reporting to the Director of Sales & Marketing and Executive Leaders, your key responsibilities will include but are not limited to the following:
  • Establish and maintain administrative systems and procedures, providing essential support.
  • Oversee Sales and Executive email communications and lead-capturing platforms to ensure timely responses to inquiries.
  • Assist Sales and Executive teams with various tasks, including room bookings, group resumes, and the Sales turnover process.
  • Support general sales outreach efforts, including correspondence, thank you notes, emails, contract assistance, billing support, rooming lists, and information gathering.
  • Participate in required meetings for sales, marketing, and executive teams, providing meeting minutes as needed.
  • Prepare for sales site inspections/media visits by checking rooms and arranging amenities/cards for VIP guests.
  • Act as the hotel liaison for VIP arrivals and corporate visits.
  • Assist in the creation and printing of marketing materials such as menus and flyers.
  • Manage online reviews and respond promptly.
  • Support the sales and marketing team with coordinating creative requests.
  • Generate various sales reports on a daily, weekly, and monthly basis.
  • Handle internal mail delivery and collection.
  • Assist operational departments with projects and materials as requested by the Executive Team.
  • Order VIP amenities as directed by the Executive office.
  • Maintain office supply inventory.
  • Ensure confidentiality of all correspondence and communications within the office.
  • Support the Ethics and Social Responsibility Committee.
  • Be available for flexible working hours for morning and evening activities as required.
  • Perform additional hotel-related tasks as assigned.
Qualifications

Your Skills and Experience:
  • Exceptional interpersonal and communication abilities.
  • Strong prioritization skills in a multi-faceted environment.
  • Capability to manage complex and confidential information with discretion.
  • Proficiency in various computer software applications.
  • Solid working knowledge of MS Word, Excel, email, and internet research.
  • Demonstrated organizational capabilities.
  • Professional demeanor and maturity.
  • Positive outlook.
  • Prior experience in the hotel industry is preferred.
