POSITION SUMMARY

Responsible for receiving, evaluating, and addressing requests for accessible department records concerning administrative, operational, civil, and criminal matters, adhering to deadlines mandated by state legislation.

Conduct thorough reviews and analyses, providing timely updates and information to requestors and relevant stakeholders. Proficiency in computer operations is essential.



ESSENTIAL FUNCTIONS

PRIMARY RESPONSIBILITIES:

ANALYSES
Assess incoming requests to identify the specific department records being sought and seek clarification from requestors when necessary.

Examine the requested records or the anticipated volume and type of records from internal sources, and within three business days of receipt, either supply the records to the requester or provide a reasonable timeframe for their availability, including cost estimates.

Evaluate whether a request pertains to evidence for criminal investigations or cases and liaise with the requester regarding additional steps to obtain releasable, responsive documents.

Request, gather, and monitor the receipt of the requested records from departmental sources. Ensure accuracy and completeness by comparing received records with the original request.

Perform precise legal analyses to redact all information protected under state and federal law. This includes reviewing paper documents, electronic files, photographs, videos, and audio files.

Inform requestors of the legal basis for each redaction, including any documents that are lawfully withheld from disclosure.

Maintain a comprehensive understanding of the Georgia Open Records Act and participate in department training related to the Act.

Identify the appropriate source of requested records within the department, which may require extensive research depending on the type of record requested.

Possess a thorough knowledge of the services, policies, programs, and operations of the Department, which includes 1006 law enforcement officers across three divisions, 120 departmental policies, and 280 field operation forms.


SECONDARY RESPONSIBILITIES:
CUSTOMER SERVICE, CLERICAL WORK, COMPUTER SKILLS & ORGANIZATION:

Utilize the department's electronic databases for retrieving requests, searching, and uploading responsive documents, as well as redacting and producing available, releasable, responsive documents.

Provide timely estimates and invoices to requestors.

Maintain accurate computer tracking for each request and the department's responses.

Deliver quality customer service, ensuring accurate and timely information and responses to inquiries from both internal and external customers.

WORK ENVIRONMENT
Work is primarily conducted in an office setting during standard business hours.

Selected candidates must successfully complete a pre-employment background investigation, which includes a review of criminal, driving, and credit history.

Computer Skills:
Ability to operate multi-function copiers for scanning and emailing documents. Proficiency in standard Microsoft Office software programs, including Microsoft Office. Capability to use specialized software for reviewing requests, uploading, redacting, and releasing documents.
