Position Summary

The Facilities Maintenance Leader oversees and organizes the tasks of staff involved in repair, upkeep, landscaping, security, and cleaning duties, including the installation of machinery and equipment within multifamily residential properties and storage facilities. This role may involve direct personal engagement or delegation through subordinate supervisors.

Key Responsibilities

Essential functions include, but are not limited to:

  • Effectively scheduling and managing staff to ensure timely and accurate completion of work orders and unit preparations.
  • Conducting daily property inspections to assess immediate maintenance needs, including litter collection and assisting maintenance personnel in maintaining property cleanliness.
  • Coordinating and overseeing all external contractors and service providers.
  • Maintaining precise inventory records of maintenance, landscaping, and cleaning supplies, reordering as necessary from approved suppliers.
  • Prioritizing job orders based on urgency and necessity.
  • Regularly meeting with the Property Manager to discuss work schedules and updates.
  • Supervising maintenance operations on utility systems to ensure a consistent supply of heating or cooling as required.
  • Keeping thorough records of preventative maintenance, apartment refurbishments, and annual inspections, ensuring timely completion of all tasks.
  • Assisting with custodial duties, including sweeping, mopping, vacuuming, and maintaining cleanliness in common areas.
  • Supporting the Property Manager with annual inspections, resident check-ins and check-outs, and monitoring grounds and communal spaces.
  • Ensuring that all scheduled maintenance on equipment and appliances is performed according to manufacturer guidelines.
  • Possessing a working knowledge of maintenance, gardening, custodial, pool, and security roles, and providing assistance as needed.
  • Understanding the locations of water and gas meter cut-offs, as well as apartment fixture cut-offs and sewer clean-outs, ensuring proper signage is available.
  • Ensuring that storage areas are secure and well-lit.
  • Conducting regular inspections of all units, buildings, and common areas to verify that repairs, landscaping, and cleaning are performed, and that all exterior lighting is functional.
  • Being available for on-call duties and organizing the on-call schedule for maintenance staff.
  • Providing ongoing training for subordinate staff.
  • Learning to understand budgets and identifying cost-effective strategies for property management.
  • Requesting Purchase Orders from the Property Manager for necessary supplies within budget constraints.
  • Conducting annual performance reviews for subordinate employees.
  • Maintaining professionalism in all resident interactions, focusing on maintenance issues, and directing any resident concerns to the Property Manager.
  • Upholding strict confidentiality regarding all company and resident matters.
  • Reporting incidents of theft, vandalism, safety hazards, or resident complaints to management.
  • Being knowledgeable about employment policies and practices, including Fair Labor Standards, Equal Employment Opportunities, and workplace safety regulations.
  • Ensuring high safety standards are developed and maintained at residential facilities, including coordinating annual fire safety inspections and addressing any identified deficiencies.
  • Maintaining records of all chemicals and their antidotes in a visible location by keeping an updated MSDS log for the property.
  • Possessing a working knowledge of OSHA regulations related to property management and adhering to these standards.
  • Participating in ongoing safety and OSHA training sessions.
Supervisory Duties

This role directly supervises one or more employees within the Maintenance Department, executing supervisory responsibilities in alignment with organizational policies and applicable laws. Responsibilities encompass interviewing, hiring, and training staff; planning, assigning, and directing work; evaluating performance; and addressing employee concerns and resolving issues.
