Job Summary

The Accounts Payable Supervisor will oversee an accounts payable team, and direct the processing of invoices and payments.

Key Responsibilities:
  • Team Management: Interviews prospective employees and chooses the best applicant based on skills, knowledge, and abilities required for the job.
  • Training and Development: Trains and oversees employees involved in payment functions.
  • Task Direction: Directs assigned tasks and assists as needed.
  • Performance Evaluation: Assists with performance evaluations.
Accounting and Financial Responsibilities:
  • Cash Flow Management: Oversees reports regarding cash flow; ensures correct payments are made promptly.
  • Invoice Processing: Develops guidelines for properly handling and coding invoices to maintain general ledger expense accounts and inventory records.
  • Expense Report Analysis: Analyzes expense reports and other invoices for accuracy and eligibility for payment.
  • Payment Verification: Verifies payment runs before processing by reviewing checks and vouchers.
  • Account Reconciliation: Reconciles accounts payable total and general ledger with other applicable records (e.g., subsidiary vendors' ledger).
  • Recordkeeping: Ensures proper recordkeeping of purchases for use in tax preparation and periodic audits.
  • Vendor Management: Ensures employer identification numbers or social security numbers have been collected from all vendors to prepare and submit 1099s.
  • Record Storage: Ensures proper maintenance, filing, and storage of records in case of audits.
  • Additional Duties: Performs other related duties as assigned.
Required Skills and Qualifications:
  • Communication: Excellent verbal and written communication skills.
  • Technical Skills: Proficient in accounting software and Microsoft Office Suite or related software.
  • Excel Skills: Intermediate or above skill level in Excel.
  • Accounts Payable Knowledge: Thorough understanding of accounts payable functions.
  • Leadership and Analytical Skills: Excellent supervisory and analytical skills.
  • Organizational Skills: Excellent organizational skills and attention to detail.
  • Staff Motivation: Ability to motivate staff.
Education and Experience:
  • Education: Bachelor's degree in Accounting or Business Administration preferred.
  • Experience: Three or four years of accounts payable experience with at least two years in a managerial or supervisory capacity.
