About the Role

CloudZero is seeking a highly organized and proactive Executive Assistant to support the office of the CEO, CTO, and the broader Executive team. This is a pivotal role in managing schedules, coordinating high-level meetings and events, handling sensitive communications, and providing comprehensive administrative support.

Key Responsibilities
  • Schedule Management: Understand business priorities and manage day-to-day schedules of the CEO and logistics, prioritizing complex schedules against competing priorities and business needs.
  • Travel Arrangements: Plan and book travel, accommodations, and detailed itineraries for the CEO and other executives as needed, preparing and processing travel expense reports.
  • Project Management: Assist with special projects and strategic initiatives, providing administrative support and ensuring deadlines are met.
  • Meeting Coordination: Organize and prepare for executive meetings, including drafting agendas, compiling materials, taking minutes, and ensuring follow-up on action items.
  • Document Preparation: Prepare, review, and distribute reports, presentations, and other documents for the CEO and CTO, ensuring all materials are accurate, well-organized, and professionally presented.
  • Event Coordination: Partner with key stakeholders across the business in coordinating internal events as needed.
  • Confidentiality: Handle highly sensitive and confidential information with absolute discretion and integrity.
  • Ad Hoc Support: Provide additional support as needed to the executive leadership team.
Requirements
  • 2+ years of experience specifically supporting Chief level executives within corporate Software environments; experience working within fast growth companies a plus.
  • Positive attitude and team player mindset.
  • Open-minded to take on new challenges and a diverse set of projects.
  • Hybrid work arrangement; ability to commute to the Boston office 3 times per week.
  • Proficient in Google Suite technologies and other relevant software. Experience with project management and communication tools is an asset.
  • Exceptional ability to manage multiple tasks and priorities in a high-pressure environment.
  • Excellent written and verbal communication skills with a strong attention to detail.
  • Outstanding interpersonal skills with the ability to build relationships and work effectively with diverse teams and stakeholders.
  • Proactive and resourceful with strong problem-solving and decision-making abilities.
  • High level of integrity and discretion in handling confidential and sensitive information.
  • Ability to adapt to changing priorities and handle unexpected situations with professionalism and poise.
