The Administrative Coordinator plays a pivotal role in ensuring the efficient operation of the Human Resources department at Rush University Medical Center. This dynamic individual will provide administrative support to the department, office, and staff, ensuring seamless coordination and execution of tasks.
Key Responsibilities- Provide administrative support to the department, including monitoring shared email boxes, preparing and managing calendars, and coordinating meeting requests.
- Manage the unemployment process, including monitoring shared mailboxes, gathering information from clients and the Partner team, and providing reporting and updates as necessary.
- Facilitate New Employee Welcome at Rush Oak Park Hospital, including hospital tours.
- Lead the annual organization-wide compliance processes for mandatory training, vaccination(s), and other mandatory requirements.
- Manage and order supplies at all HR offices, ensuring the office is appropriately stocked.
- Assist the ELR team with monitoring shared inboxes and scheduling matters, including grievance hearings and contract negotiation meetings.
- Manage the submission of volunteer background checks.
- Assist with the creation and administration of other HR processes, both within the department and across the organization.
- Lead the coordination of meetings and special events, including organization-wide parties and employee appreciation activities.
- Coordinate with Environmental Services and other organization departments to maintain a clean, safe, and pleasant office environment.
- Bachelor's degree.
- Three years of administrative experience.
- Excellent organization skills and strong oral and written communication skills.
- Proficient with Microsoft Office software.
- Flexibility and willingness to perform a variety of tasks.
- Ability to work independently and demonstrates the ability to work effectively with a diverse group of people.
- Ability to exercise judgment and discretion.
- Ability to maintain expected level of customer service.
- Ability to prioritize, multi-task, and re-prioritize using time management skills to expeditiously complete assignments and duties.
