Job Summary:

The Administrative Coordinator plays a vital role in the department's daily operations, ensuring efficient workflow and achievement of department goals. With a deep understanding of the department's strategies and objectives, this role is responsible for office management and department coordination with minimal supervision. The ideal candidate will exemplify the Rush mission, vision, and ICARE values, acting in accordance with Rush policies and procedures.

Key Responsibilities:
  • Provides administrative support to the department, including monitoring shared email boxes, preparing and managing calendars, and coordinating meetings.
  • Manages the unemployment process, including monitoring shared mailboxes, reaching out to clients and the Partner team, and providing reporting and updates.
  • Facilitates New Employee Welcome at Rush Oak Park Hospital, including hospital tours.
  • Leads the annual organization-wide compliance processes for mandatory training, vaccination(s), and other requirements.
  • Manages and orders supplies for all HR offices, tracks invoices and receipts, and assists with the creation and administration of other HR processes.
  • Coordinates meetings and special events, including organization-wide parties and employee appreciation activities.
  • Assists with the upkeep of the Competency library and coordinates communication with Compliance.
  • Coordinates with Environmental Services and other departments to maintain a clean, safe, and pleasant office environment.

Requirements:
  • Bachelor's degree.
  • Three years of administrative experience.
  • Excellent organization skills and strong oral and written communication skills.
  • Proficient with Microsoft Office software.
  • Flexibility and willingness to perform a variety of tasks.
  • Ability to work independently and effectively with a diverse group of people.
  • Ability to exercise judgment and discretion.
  • Ability to maintain expected level of customer service.
  • Ability to prioritize, multi-task, and re-prioritize using time management skills.

Preferred Qualifications:
  • Experience in a Human Resources Admin role.
