Job Summary

The Contract Administrator II will conduct functions associated with contract management systems to ensure proper project documentation is created, shared, and maintained throughout the life of the project.

Key Responsibilities
  • Process equipment Purchase Orders, PO modifications, Construction Service Agreements, Subcontracts, and Subcontract change order requests from the Project Team via entry into the Penta Accounting System.
  • Produce, provide to vendors/subcontractors, and track receipt of all equipment PO/CSA/Subcontract documents and associated Exhibits.
  • Indicate receipt of properly executed documents and acceptable Certificates of Insurance (COIs) by updating the document status as "active" in Penta, indexing documents in the Paperless filing system, and uploading to the appropriate folder in the Egnyte file sharing system.
  • Enter all approved COIs received by vendors/subcontractors into Penta.
  • Subcontract module as well as print weekly reports (or as needed) to determine and notify vendors/subcontractors of upcoming policy expiration dates.
  • Communicate regularly with the Project Team through monthly meetings to ensure all documentation has been completed and processed.
  • Create and organize folders within the Procurement folder on Egnyte.
Requirements
  • High school diploma or equivalent required.
  • 3-5 years of experience.
  • Additional related experience (engineering, construction, or architecture) or relevant business training required.
  • Working knowledge of end-to-end supply chain management, including purchasing, contracting, material receiving, and invoice payment.
  • Excellent written and oral communication skills required.
  • High level of organizational skills to successfully multitask in a fast-paced environment.
  • Proven ability to work independently and exercise sound judgment, effectively reprioritizing tasks and requests to meet deadlines and business requirements.
  • Ability to identify contract requests with variations or exceptions and determine an appropriate course of action.
  • Analytical and problem-solving skills, speed, accuracy, and high attention to detail are essential, as is delivering superb customer service both externally and internally.
  • Legal or contract-related experience is a plus.
  • Attention to detail, advanced organizational skills, and follow-through are required.
  • Proficiency in Microsoft Office Software required (Word, Excel, Outlook, etc.).
  • Computer savvy with the ability to learn and use software systems to carry out document control functions as required.
Preferred Qualifications
  • 4-year degree preferred (Business, Supply Chain, Engineering, or other majors).
  • Construction project or document control experience is preferred.
Travel and Physical Requirements

0-5% of time will be spent traveling to job sites/office locations.

Prolonged periods of sitting at a desk and working on a computer.

Remaining in a stationary position, often kneeling, standing, or sitting for prolonged periods.
