Client Service Administrator

Position Overview:

The primary objective of this role is to support our existing clientele with various service requests, including beneficiary modifications, withdrawals, incoming client inquiries, database oversight, and preparation for client meetings. This includes updating client account summaries, equipping the main advisor for review meetings, and organizing accounts for delivery.

Qualifications:

  • Experience in the financial or insurance sector is essential
  • A minimum of 3 years working alongside a Financial Advisor in a fast-paced office setting is preferred
  • Familiarity with MacOS is advantageous, along with the ability to quickly adapt to new software
  • Experience with CRM systems
  • Possession of a Texas Life Insurance License or Series 65 is preferred

Key Responsibilities:

The Client Service Administrator will be expected to maintain consistent follow-through on all tasks, foster relationships with prospects and clients, and assist the Advisor in preparing for client meetings. Daily, weekly, and monthly responsibilities may include:

  • Receiving incoming client service calls with a friendly demeanor
  • Addressing each service request and resolving client concerns
  • Completing and processing new business applications, following up on pending items, and updating clients
  • Managing new business submissions and issued reports
  • Ordering and maintaining stock of new business applications and marketing materials
  • Updating and reviewing the database/CRM to reflect account statuses
  • Maintaining an organized, compliant, and efficient filing system
  • Processing all applications for business submitted by the Advisor
  • Preparing client review summaries for upcoming meetings
  • Ensuring professional communication with clients and team members
  • Assisting with client updates, reports, and mailings
  • Supporting Advisors with educational workshops and client events as necessary
  • Assisting in scheduling client appointments and preparing Advisors for meetings
  • Maintaining current Advisor licenses and appointments with relevant agencies

Compensation:

  • $45,000 - $60,000/year based on experience
