Position Title: Facilities Coordinator

Position Summary: The Facilities Coordinator plays a crucial role in ensuring compliance with health and safety regulations across all facilities. Reporting to the Chief Operations Officer, this position is responsible for fostering a welcoming environment for children and families while supporting the Education Site Manager in leading the Facilities team. The Coordinator collaborates with the Chief Finance Officer on significant projects, including drafting Requests for Proposals (RFPs) and selecting vendors based on quality and cost-effectiveness.

Key Responsibilities:

  • Develop and implement strategies to address the ongoing facility needs of the program.
  • Manage vendor contracts, including the scope of work, proposal requests, bids, and performance evaluations.
  • Supervise contractors to ensure timely and quality completion of renovation and maintenance projects.
  • Collaborate with executive leadership on lease negotiations and renewals.
  • Provide monthly reports to the Chief Operations Officer regarding facility status, including compliance licenses and maintenance updates.
  • Create and execute a training plan for Facilities staff, focusing on performance evaluations and essential responsibilities.
  • Ensure facilities are equipped with necessary emergency supplies in accordance with safety guidelines.
  • Conduct monthly inspections of facilities to verify updated evacuation procedures are posted.
  • Ensure facilities are maintained, including regular painting and upkeep of interior and exterior areas.
  • Work alongside Education Site Managers to oversee cleanliness and maintenance of facilities.
  • Cultivate professional relationships with local agencies and landlords to facilitate smooth operations.
  • Ensure all necessary documentation is available and displayed at facilities, including licenses and safety records.
  • Organize bi-weekly staff meetings to discuss facility operations and improvements.
  • Actively engage in management meetings and contribute to strategic discussions.

Qualifications:

  • Bachelor’s Degree in Property Management or a related field.
  • Relevant certifications (S-95, F-07, W-07).
  • Valid driver’s license.

Experience:

A minimum of two years of experience in supervising maintenance teams and collaborating with city agencies on facility-related matters. Experience in property management is advantageous.

Skills:

Strong interpersonal, organizational, and communication skills are essential. Knowledge of construction practices, building codes, and project management is required. Proficiency in Microsoft Office and familiarity with automated building systems is necessary.

Physical Requirements:

  • Ability to travel to various program sites regularly.
  • Must maintain an updated medical report confirming physical capability to perform job duties, including lifting and mobility tasks.
