Key Responsibilities:

+ Provide comprehensive administrative support to a department, team, or program. Gather essential information for reports or presentations. Perform routine clerical tasks such as photocopying, record compilation, filing, data entry, and mail distribution. Ensure adherence to the organization's record retention policy, complete necessary forms, verify information, and resolve standard issues. May be primarily responsible for answering phone calls and reception duties. Offer guidance and support to all volunteers.

+ Execute all tasks in compliance with standard operating procedures and relevant regulations.

Main Duties:

+ Conduct administrative functions such as duplicating documents, operating office equipment, managing mail, preparing outgoing correspondence, and handling incoming calls. Address routine inquiries and direct specific requests to the appropriate department or business unit. Maintain accurate administrative records for faxes, deliveries, shipments, etc.

+ Assist in drafting correspondence. Possibly record and post data in a log or spreadsheet. Organize and maintain reports and correspondence files.

+ Welcome and assist visitors. Direct them to the appropriate location or staff member. If necessary, distribute access badges and document visitors' arrivals and departures.

+ Manage inventory and oversee the procurement of commonly used office supplies.

+ Provide coverage for other administrative personnel within the unit during their temporary absence.

Qualifications for Success:

+ Education: High School diploma or equivalent required.

+ Experience: Minimum of 7 years of relevant experience or a combination of education and related experience required.

+ Management Experience: Not Applicable.

+ Skills & Abilities: Excellent verbal and written communication skills. Proficiency in personal computers and the Microsoft Office Suite. Strong typing skills are essential. Familiarity with organizational policies and procedures related to operations in the assigned unit is preferred. Ability to prepare and edit complex documents is advantageous. Capacity to work collaboratively within a team.

+ Travel: None or minimal. A valid driver's license is required.

+ * A combination of a candidate's educational background and general experience meets the criteria as long as the total years fulfill the minimum education and experience standards (Management experience is non-substitutable).

+ Physical Requirements: The role's physical demands include the ability to sit, use hands for handling or feeling, and communicate verbally. Regular hand reaching is necessary, with occasional standing, walking, stooping, kneeling, crouching, or crawling required. The individual will frequently need to lift and/or move up to 15 pounds and occasionally objects weighing up to 30 pounds. Specific vision capabilities such as close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to focus are essential. The work environment may involve moderate noise levels (e.g., a business office with computers, phones, and printers, light foot traffic). The employee should be capable of working in a compact cubicle and be able to sit at a computer terminal for extended periods.
