Job Description

This role is a critical member of the Family Medicine Residency Program team, supporting the day-to-day operations and ensuring the smooth functioning of the program.

Responsibilities:
  • Assist with residency program training management activities, including data entry, reporting, and event coordination.
  • Complete administrative tasks, such as correspondence, meeting logistics, and record management.
  • Provide travel and administrative support to the Residency Program Director, Associate Residency Program Director(s), and Residency Program Manager.
  • Assist with program events, including residency retreats, graduation, conferences, and interviews.
  • Coordinate logistics, including room reservations, audio/visual support, catering, and meeting documents.
  • Assist with electronic databases, including MedHub, ERAS, ADS, GME track, and FRIEDA.
  • Maintain resident demographic data, schedules, evaluations, and conference attendance in MedHub.
  • Monitor evaluation completion and send reminders.
  • Complete MedHub reporting as assigned.
  • Recruit and coordinate interview logistics, including room reservations and interview reminders.
  • Communicate interview schedules to faculty members and residents.
  • Maintain applicant and resident files.
  • Assist with the processing of resident licenses and documentation for the Annual Program Evaluation and Improvement Plan.
  • Submit and monitor resident requests for books, travel, and other expenses.
  • Reconcile and monitor requisitions and purchase orders.
Requirements:
  • Education: Associate’s Degree or 2 years of college education or equivalent experience.
  • Experience: 1 year of related experience.
  • Proficient in Microsoft Office Suite.
  • Must type 45 WPM.
  • Demonstrated communication and interpersonal skills.
  • Ability to communicate effectively orally and in writing.
