Job Overview:
The Community Engagement Coordinator is tasked with overseeing the effective management of a community association.

This role involves interaction with various stakeholders, including residents, service providers, board members, and committee participants, as well as collaboration with staff at the Associa Client Shared Service Center (CSSC) and within the local office.

This position will be based out of the Principal Management Group Dallas office.

Key Responsibilities:
Manage the operations and administration of the Association in alignment with the management agreement and the established policies and procedures.
Serve as the primary contact for the Association Board of Directors and homeowners as necessary.
Execute administrative and management tasks as directed by the Board of Directors in accordance with the management agreement.

Ensure that Associa's community management tools are effectively utilized, including annual calendars, action item lists, resolution worksheets, timed agendas, RFP matrices, committee charters, procurement procedures, and fiscal year operating budgets.

Review monthly financial statements and ensure that management summaries are submitted to the Association Board of Directors.

Provide recommendations to the Association Board of Directors and committees regarding significant capital investments needed to maintain the community's aesthetic and operational standards.

Monitor corporate and client delinquency rates and oversee the collections process for the account portfolio.
Attend Board meetings as per the management agreement and participate in community events as required.
Prepare Board packages according to established timelines.
Keep the Board of Directors informed about any legal matters involving the Association.
Maintain unit and contract files related to the Association's operations.
Assist the Board of Directors/Architectural Review Board (ARB) with the architectural review process and conduct routine inspections as necessary.
Oversee the maintenance of the C3 database, ensuring resident information is current.
Manage routine and special project vendor relations, including procurement and performance evaluations as stipulated in contracts.
Supervise Associa staff as per the contract provisions.
Coordinate inspections of building facilities and common areas, ensuring appropriate follow-up actions are taken as required.
Oversee the accounts payable process in accordance with Associa's home office procedures.
Perform other duties as assigned.

Qualifications:

Knowledge and Skills:
Proficient knowledge of Microsoft Office applications (Word, Excel, Outlook, etc.).
Understanding of community management, real estate, and homeowners associations.

Familiarity with the roles of the association board, the Community Association Manager, and their interactions with homeowner requests.

Proficient in business correspondence (grammar, structure, punctuation, spelling, etc.).
Knowledge of conflict resolution strategies at a proficient level.
Strong professional communication skills (phone, interpersonal, written, verbal, etc.).
Excellent customer service skills.
Self-motivated, proactive, detail-oriented, and a collaborative team player.
Effective time management and prioritization skills.
