Job Overview

We are pleased to present an exciting opportunity for an Immigration Legal Support Specialist to become a vital part of our team. The chosen candidate will provide essential assistance to attorneys specializing in employment-based immigration matters. KEY RESPONSIBILITIES:
  • Manage databases, charts, and calendar alerts to ensure timely submissions of extensions, petitions, and applications.
  • Track and follow up on outgoing packages.
  • Assist in the preparation of employment-based applications and petitions for submission to the U.S. Citizenship and Immigration Service (USCIS) and the Department of Labor (DOL), including consular filings using Adobe, printing, and dispatching.
  • Utilize the USCIS website to research filing requirements, including fees, addresses, necessary documents, and forms, and submit service requests as needed.
  • Process financial requests.
  • Initiate new cases.
  • Draft engagement letters.
  • Manage incoming correspondence - scan, distribute, update databases/charts, and prepare letters.
  • Compile expense reports and travel pre-approvals.
  • Draft letters and affidavits to support applications and petitions.
  • Gather and organize documents necessary for applications and petitions.
  • Coordinate the translation of foreign documents.
  • Organize and maintain electronic client files.
  • Collaborate with team members to address legal assistant needs during peak times or absences.
  • Perform additional administrative tasks as required.
SKILLS AND QUALIFICATIONS:
  • Exceptional organizational and project management abilities.
  • Strong communication skills, both verbal and written.
  • Ability to exercise independent judgment and work with minimal supervision.
  • Familiarity with USCIS and DOL regulations, practices, and procedures.
  • Capacity to work independently with limited oversight.
  • Proficiency in using INS ZOOM.

Preferred candidates will have a comprehensive understanding and experience with software applications such as Microsoft Office (Word, Outlook, Excel, and PowerPoint) and Adobe DC.

  • Demonstrated attention to detail.
  • High level of initiative to complete tasks and take ownership of responsibilities.
EDUCATION AND EXPERIENCE:
  • A minimum of two years of experience as a legal secretary in immigration (preferably with business-based visas) within a law firm or equivalent setting.
  • A High School Diploma or equivalent is required; relevant college coursework and/or certification are preferred.
