Job Description

Position Overview:

We are looking for a detail-oriented Title Processing Support Specialist to assist our Title Agents in the efficient management of real estate transactions. This role is essential for ensuring the accuracy and promptness of title services, requiring a candidate with excellent organizational abilities and the capacity to handle multiple tasks simultaneously.

Key Responsibilities:

Document Preparation and Review: Aid in the preparation and examination of title documents, ensuring they are accurate and complete. This includes handling deeds, mortgages, lien releases, and other related paperwork.

Data Entry: Precisely input and update transaction details in our title management system.

Communication: Serve as a point of contact between clients, lenders, real estate agents, and Title Agents, ensuring clear and timely communication to address any issues or discrepancies. Manage multiple email accounts to facilitate daily operations.

Title Searches: Assist in identifying potential issues or encumbrances related to titles.

File Management: Organize and maintain both physical and digital files, ensuring all documents are properly categorized and easily accessible.

Scheduling: Coordinate and arrange appointments, meetings, and closings, ensuring all parties are informed and prepared.

Customer Service: Deliver outstanding customer service by responding to client inquiries and providing updates on their transaction statuses.

Compliance: Ensure that all documents and processes adhere to legal standards and company policies.

Qualifications:

Education: High school diploma or equivalent; additional coursework or certification in real estate, title insurance, or a related field is advantageous.

Experience: Prior experience in a similar position within the real estate, title, or legal sectors is required.

Skills:

Excellent written and verbal communication skills.

Strong attention to detail and accuracy.

Outstanding organizational and time management abilities.

Proficient in Google Suite (Docs, Sheets, Gmail or Outlook).

Capability to work independently as well as collaboratively.

Familiarity with SoftPro software is a plus.

Attributes:

Ability to manage confidential information with care.

Customer-oriented with a positive demeanor.

Working Conditions:

Environment: Office setting with potential for occasional remote work flexibility.

Hours: Full-time position with standard business hours; minimal overtime may be necessary to meet deadlines.
