Administrative Assistant I

At ICONMA, we are seeking a highly organized and detail-oriented Administrative Assistant I to join our team in Oak Creek, WI.

Key Responsibilities:

  • Provide administrative support to a department or group of professionals under direct supervision.
  • Compile and analyze basic information for inclusion in reports or presentation materials, preparing charts, graphs, or tables as necessary.
  • Respond to routine correspondence following established procedures not requiring management review.
  • Exercise independent judgment and employ basic reasoning skills to complete tasks.
  • Utilize designated software packages, including word processing, spreadsheet, database management, and presentation software, to perform position tasks.
  • Assist employers by performing secretarial and administrative tasks, handling high volumes of detailed work.
  • Compile, analyze, and reconcile reports, preparing and verifying weekly, monthly, quarterly, and annual reports.
  • Organize employer's appointment schedule and maintain business records and files.
  • Open and sort incoming mail, preparing replies or directing mail to employers for reply.
  • Handle purchase orders, payments of bills, and expense vouchers.
  • Work with confidential materials, personnel records, payroll, and salary data.
  • Work with minimal supervision and may be skilled in a specific work environment, such as legal, finance, or marketing.
  • Prepare letters, memos, invoices, manuscripts, and other business documents as directed, using designated word processing software.

Requirements:

  • High school diploma or equivalent required.
  • 1-2 years of administrative experience preferred.
  • Proficiency in Microsoft Office and other software packages.
  • Excellent communication and organizational skills.
