About the Role

We are seeking a highly organized and analytical Administrative Analyst to join our wealth management team at TalentBridge. This role is perfect for someone who prefers working independently and excels in handling complex financial data, client documentation, and operational support.

Key Responsibilities
  • Data Management & Analysis: Gather, organize, and analyze client financial information (statements, tax returns, insurance policies) to prepare reports and ensure data accuracy for client meetings and portfolio management.
  • Financial Onboarding Support: Coordinate the onboarding process for new clients, including preparing and processing account paperwork, managing signatures, and liaising with custodians like Schwab for asset transfers and portfolio implementation.
  • Document Organization: Maintain meticulous records of client financial data and ensure everything is compliant and up to date in the CRM system.
  • Operational Support: Act as the go-to person for executing internal processes, identifying opportunities to streamline workflows, and ensuring firm policies are followed.
  • Client Reporting: Prepare regular financial reports, summaries, and data-driven insights to support wealth managers in delivering precise and timely advice to clients.
  • Meeting Preparation: Organize and prepare materials ahead of client meetings, ensuring all data, reports, and documents are complete and ready for presentation.
  • Research & Troubleshooting: Assist in researching complex client requests, such as detailed investment questions or tax planning issues, and provide accurate, timely responses.
  • Technology Proficiency: Utilize various software tools, including Excel, financial planning software, and CRM systems to maintain accurate records and improve data efficiency.
Requirements
  • 2+ years of experience in an analytical or administrative role, preferably within financial services or wealth management.
  • A bachelor's degree is required.
  • A strong affinity for working with data and a high level of proficiency in Microsoft Excel and other data management tools.
  • Ability to thrive in a detail-oriented, structured environment with minimal need for external communication or frequent client-facing responsibilities.
  • Organized and methodical, with a talent for spotting inconsistencies or errors in data and processes.
  • Introverted personality type preferred, with comfort working independently and in a role focused on detailed analysis and internal support.
  • Process improvement mindset, eager to find more efficient ways to complete tasks and manage data.
