Client Relations and Conference Coordination Specialist

Location: Washington, D.C.
Compensation Package: Competitive salary up to $75K, Paid Overtime, Comprehensive Benefits, Tuition Reimbursement, Performance Bonus, 401K+, etc.
Key Responsibilities:
- Manage the reservation of conference rooms and facilities, ensuring all related services are coordinated effectively (including catering, logistics, signage, materials, security, floor plans, and administrative support).
- Welcome clients and guests; handle incoming calls; relay messages accurately and in a timely manner.
- Efficiently manage multiple phone calls and emails regarding new bookings and modifications.
- Oversee calendars and organize appointments, meetings, and conference calls.
- Serve as a liaison with building management, Office Services, Records, Accounting, and IT departments.
- Assist in directing clients to training/breakout rooms, pantry areas, the Conference Center, Business Center, Cafeteria, phone booths, and local accommodations.
- Address client inquiries regarding conference space, setup, and Conference Center features.
- A minimum of 6 months of prior experience in reception or conference services within a law firm or hospitality setting is essential.
- Ability to communicate effectively with all levels of staff across various offices and manage multiple tasks simultaneously.
- Demonstrated exceptional customer service skills, professional telephone etiquette, and strong verbal and written communication abilities.
