Administrative Support Coordinator

The role of an Office Support Specialist is essential in ensuring smooth daily operations within our organization. This position serves as a vital communication link between our agents and their clients, fostering a professional and welcoming environment.
Key Responsibilities- Maintain effective and professional communication with agents and clients on a daily basis.
- Assist the Managing Director in onboarding both new and seasoned agents.
- Provide orientation regarding office operations, including equipment usage and procedures.
- Engage with agents to facilitate training on company systems and available resources.
- Support the Managing Director by participating in meetings, documenting discussions, and disseminating information.
- Organize and promote office events to enhance team engagement and morale.
- Represent the office at company-sponsored events during business hours.
- Ensure timely processing of commissions and provide necessary documentation to the transaction services team.
- Assist agents in maintaining compliance with contracts and updating transaction dashboards.
- Oversee the opening and closing of the office, providing guidance as needed.
- Perform receptionist duties, including answering calls, greeting clients, and managing mail.
- Maintain a professional office environment and ensure equipment is in good working order.
- Keep agent contact information updated and accessible.
- Manage office supplies through a centralized ordering system, ensuring timely replenishment.
- Assist the accounting department with monthly audits and billing tasks.
- Maintain the floortime calendar monthly.
- Provide agents with necessary real estate and company forms as needed.
- Assist agents in ordering marketing services and collaborate with the marketing team for additional support.
- Contribute local office content and market data for newsletters.
- At least two years of experience in a customer service capacity; experience in the real estate sector is advantageous.
- Exhibit a positive demeanor, integrity, and a commitment to exceptional customer service.
- Ability to manage multiple tasks with attention to detail.
- Proficient in Microsoft Office or Google Suite applications.
- A proactive individual who thrives in a dynamic office setting.
