H2 Performance Consulting is seeking a Project Management Analyst to assist with administrative functions across various departments and two distinct entities. The role encompasses tasks such as documentation management, correspondence, organizing meetings, defining workflows, and monitoring the progress of multiple initiatives to support one or more executives, thereby promoting an efficient, process-oriented operation.

This position leverages technology extensively in the execution of responsibilities.


Key Responsibilities of the Project Management Analyst:

  • Handle sensitive issues with a high degree of confidentiality and discretion, particularly those affecting the global operations of the organization.

Demonstrate the ability to manage multiple tasks in a dynamic environment.

Possess the capability to comprehend and comply with intricate internal policies and governmental regulations.


Project Coordination:

Effectively track and coordinate activities across various projects.

Input and update data in databases and spreadsheets, as well as develop templates and project tracking tools.

Prepare meeting agendas, document and distribute meeting minutes, and monitor action items.

Coordinate logistics for virtual meetings and ensure all preparatory materials are complete and shared.

Define and document processes across multiple functional areas within the organization.

Draft and refine letters, reports, and other documentation.


Executive Support:

Provide administrative assistance to ensure smooth departmental operations.

Ensure deadlines are met while adapting to shifting priorities.

Exhibit exceptional attention to detail and the ability to meet deadlines.

Create and maintain both electronic and physical filing systems.

Establish order and structure to ensure executives do not miss appointments or deadlines.

Communicate professionally, utilizing proper spelling and grammar.

Prepare various communications, including memos, emails, invoices, reports, and other correspondence.

Respond to emails and other digital inquiries and correspondence.

Handle sensitive information with discretion to maintain confidentiality and security, ensuring compliance with privacy policies and regulations.


Compliance Coordination:

Research, compile, and summarize information for reports or presentations.

Input and update information in databases and spreadsheets, as well as create templates and project tracking tools.

Maintain ISO 20000 and 27001 processes throughout the year and collaborate with other departments to gather audit evidence.

Prepare meeting agendas, document and distribute meeting minutes, and monitor action items.

Coordinate logistics for virtual meetings and ensure all preparatory materials are complete and shared.

Communicate necessary compliance information to all personnel.


Qualifications:
  • Proficient in Microsoft Word and Excel.
  • Local travel may be required.
  • 8-10 years of relevant experience.
  • Associate's degree in a business-related field.
