Overview: We are seeking a skilled IT Project Management Coordinator with a robust background in project budgeting and tracking. This role is essential for ensuring the smooth execution of various IT projects.
Key Responsibilities:
- Oversee daily operations related to assigned projects.
- Organize and facilitate meetings and workshops for project teams, including managing logistics, setting agendas, and documenting meeting outcomes.
- Coordinate project updates, generate reports, and reconcile professional services.
- Support the management of daily operational tasks.
- Handle administrative duties such as travel arrangements, phone inquiries, and meeting scheduling.
- Manage office supplies and ensure the upkeep of office equipment.
- Serve as a primary contact point for stakeholders.
- Follow up on assigned tasks and ensure timely communication with stakeholders for effective project execution.
- Assist in the creation and preparation of project-related documents, including:
- Statements of Work and Contracts.
- Weekly and Monthly status reports, resource planning documents, risk management reports, and other necessary management reports.
- Project presentation materials.
- Maintain and submit job-related documentation accurately and promptly.
- Perform data entry into relevant information systems.
- Generate reports as required by supervisors and project managers.
- Uphold high standards of business ethics and conduct in interactions with customers, vendors, and colleagues.
- Collaborate with team leaders, managers, and department heads to understand departmental objectives and needs.
- Ensure compliance with local, federal, industry, and company standards in all activities.
- Execute additional duties as assigned.
Required Skills:
- Demonstrated experience as an Operations Coordinator or in a similar capacity.
- High energy and ability to manage multiple projects and tasks simultaneously.
- Experience in finance is essential.
- Proficient in Microsoft Excel (including Functions and Macros).
- Strong knowledge of Microsoft Office Suite (Word, PowerPoint, etc.) along with proficiency in project management tools and web applications.
- Exceptional written and verbal communication skills across all levels of the organization.
- Strong interpersonal skills for effective collaboration with employees, vendors, and clients.
- Excellent organizational capabilities.
- Strong analytical and decision-making skills.
- Effective strategic planning and problem-solving abilities.
Primary Skills:
- MS Project Plan, CSM, PMP, SAFe certifications.
Preferred Skills:
- Technical familiarity with various technologies, including SharePoint, Cloud, and Database systems.
