Role Summary

This role is crucial in facilitating communication across various departments within Orion180. The position encompasses a variety of tasks aimed at supporting the operational functions of the organization.

Key Responsibilities
  • Provide comprehensive administrative support to ensure smooth office operations.
  • Maintain organized digital filing systems.
  • Handle incoming calls and direct them to the appropriate personnel.
  • Coordinate and schedule meetings effectively.
  • Respond to emails and manage other digital communications.
  • Manage senior staff calendars, including travel arrangements.
  • Draft and refine correspondence, reports, and various documents.
  • Input and update data in databases and spreadsheets.
  • Prepare meeting agendas and document minutes.
  • Coordinate meeting logistics, including room setup and catering services.
  • Utilize word processing and presentation software for document creation and editing.
  • Conduct research as needed and compile information for reports or presentations.
  • Collaborate closely with colleagues and support various departments as required.
  • Handle sensitive information with discretion, ensuring confidentiality and compliance with privacy regulations.
  • Meet deadlines consistently and adapt to shifting priorities.
  • Project a positive and professional image for the organization.
  • Perform additional duties as assigned.
Qualifications and Skills
  • High school diploma or equivalent is required.
  • A minimum of 3 years of experience in an administrative support role within a client-focused environment.
  • Experience in the insurance sector is preferred.
  • Dependable and punctual.
  • Strong organizational and time management abilities.
  • Capability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Office Suite.
  • Positive demeanor; friendly and engaging in all interactions.
  • Business casual attire is expected.
Physical Requirements

While performing the duties of this position, the employee is regularly required to sit, stand, and walk, including the use of stairs. Other physical demands include effective communication through speaking, listening, and reading, the ability to lift light objects (less than 25 lbs), and the use of standard office equipment such as computers and phones. Occasionally, bending, twisting, or reaching may be necessary to access files or office supplies.

Work Environment
