Position Overview:

The Healthcare Office Assistant undertakes a variety of administrative tasks while delivering exceptional customer service and maintaining effective communication with patients, families, healthcare providers, and external entities.

Key Responsibilities Include:

  • Managing and confirming patient appointments using the Practice Management System when available.
  • Executing assigned duties, which may involve sending and receiving patient records, scheduling procedures and tests, obtaining pre-certification for services, verifying insurance details, and maintaining accurate patient charts.
  • Handling incoming calls, relaying messages, and providing necessary information.
  • Organizing files and aiding in the development of office systems.
  • Ordering and managing office supplies.
  • Operating various office equipment.
  • Participating in meetings, taking minutes, and distributing them as needed.
  • Upholding organizational responsibilities, including promoting patient rights and addressing any concerns with supervisors.
  • Complying with infection control standards, including hand hygiene protocols.
  • Utilizing a structured decision-making process to prioritize patient care and related issues.
  • Collaborating effectively with the healthcare team.
  • Completing annual mandatory training, including Occupational Health Requirements.
  • Attending required in-service training sessions.
  • Participating in staff meetings as necessary.
  • Implementing cost-saving practices.
  • Preparing and maintaining various statistical reports as needed.
  • Adhering to all hospital policies and procedures, including dress code and behavioral standards.

Qualifications:

  • High school diploma or equivalent (GED) is required.
  • Prior experience in patient relations is essential.
  • General office experience is required.
  • Experience in a physician practice setting is preferred.
  • Familiarity with basic medical terminology and electronic medical records is advantageous.

  • Skilled in balancing visitor interactions, phone inquiries, and administrative duties.

  • Organized, flexible, and capable of prioritizing tasks effectively.
  • Excellent communication skills and telephone etiquette.
  • Demonstrates a courteous and professional demeanor at all times.
  • Maintains composure under pressure.

Physical and Mental Demands:

  • May encounter chemicals necessary for job functions, with access to Safety Data Sheets for reference.
  • Ability to use a computer for extended periods.
  • Occasional lifting or moving of items weighing 15 to 20 pounds.
  • Frequent movement throughout the department during the workday.
  • Capability to sit for prolonged periods.
  • Ability to respond to frequent calls.
