Overview

The Healthcare Administrative Assistant is responsible for a variety of office-related tasks while ensuring exceptional customer service and effective communication with patients, families, healthcare providers, and external entities.

Key Responsibilities Include:

  • Managing and confirming patient appointments using the Practice Management System when available.
  • Carrying out assigned duties such as processing patient records, scheduling medical procedures, obtaining pre-authorization for services, verifying insurance details, and maintaining accurate patient charts.
  • Answering phone calls, relaying messages, and providing necessary information.
  • Organizing files and assisting in the development of office systems.
  • Ordering and managing office supplies.
  • Operating relevant office machinery.
  • Participating in meetings, documenting minutes, and distributing them as needed.
  • Upholding organizational responsibilities, including respecting patient rights and addressing emergencies appropriately.
  • Following infection control protocols, including hand hygiene standards.
  • Engaging in decision-making processes that prioritize patient care and operational issues.
  • Collaborating and communicating effectively with the healthcare team.

Education & Experience Requirements:

  • High school diploma or equivalent (GED) is required.
  • Previous experience in patient relations is essential.
  • General office experience is required.
  • Experience in a physician practice setting is preferred.
  • Familiarity with basic medical terminology and electronic scheduling systems is advantageous.
