The Commercial Subscriptions Coordinator is responsible for the oversight and facilitation of subscription services and publication management essential for Commercial Trading operations. Key responsibilities include collaborating with the Market Analyst Manager and Procurement team to effectively handle contract negotiations, maintain user databases, and process financial transactions.

Key Responsibilities:
  • Act as the main internal and external liaison for all matters related to Commercial Subscription & Publications agreements.
  • Work closely with Procurement to ensure that contracts are negotiated and finalized in accordance with corporate objectives and standard terms.
  • Manage and coordinate trials and evaluations for new subscription services or publications.
  • Engage with Corporate Procurement to secure contractual support and negotiate terms for various Commercial agreements.
  • Oversee the processes for adding, accessing, and removing personnel from subscription services as required.
  • Assist the Global Market Analysis team by providing necessary subscription and publication support.
  • Ensure a seamless workflow and optimal resource utilization within the subscription management framework.
  • Communicate effectively with traders, desk heads, and other stakeholders to confirm that subscription requirements are fulfilled.
  • Handle all aspects of Commercial Procurement activities, including vendor setup, requisitions, purchase orders, invoicing, and accounts payable.
  • Review contract data to ensure compliance and accuracy during audits.
  • Develop and maintain documentation for procurement and sales contracts, ensuring adherence to management procedures and policies.
  • Process invoices and purchase orders within SAP to guarantee accurate payments.
  • Upload finalized contracts into the Icertis system.
Required Qualifications:
  • Legally authorized to work in the job posting country.
  • Bachelor's degree.
  • A minimum of 3 years of professional experience in procurement-related functions or contract negotiations.
  • Strong verbal and written communication skills.
  • Proficient in Microsoft Excel, Word, and PowerPoint.
  • Ability to manage multiple projects concurrently.
  • Proactive in identifying and resolving issues.
  • Familiarity with SAP operations.
Preferred Qualifications:
  • Experience in subscription management and coordination.
  • Knowledge of market analysis and global commodity trading.
  • Strong collaborative skills and the ability to work effectively in cross-functional teams.
  • Excellent communication, interpersonal, and presentation skills.
  • Previous experience in commercial trading or a related role within the energy sector.
