Job Summary

We are seeking an exceptional Executive Assistant to the Dean to join our team at the College of Veterinary Medicine and Biomedical Sciences. This is an exciting opportunity to work closely with the Dean and contribute to the success of our college.

Key Responsibilities
  • Provide high-level administrative support to the Dean, including scheduling appointments, coordinating travel arrangements, and managing the Dean's calendar.
  • Assist the Dean in preparing for meetings, including researching and assembling relevant materials, and coordinating with other administrators as needed.
  • Develop and implement effective communication strategies to engage with college faculty, staff, and students, and to promote the college's mission and values.
  • Collaborate with the college's communications director and internal communications manager to develop and implement strategic communications plans.
  • Serve as a liaison between the Dean and other administrators on campus, including the vice presidents, directors, and college deans.
  • Provide administrative support for special events, including coordinating logistics, arranging catering, and ensuring that all necessary materials are available.
  • Assist the Dean in developing and implementing policies and procedures, and in ensuring compliance with university regulations and procedures.
Requirements
  • Bachelor's degree in a relevant field, or at least 5 years of administrative experience.
  • Excellent verbal and written communication skills, and ability to work collaboratively and productively with a diverse array of stakeholders.
  • Demonstrated ability to successfully interact and communicate with diverse backgrounds and at all levels of the university and the community.
  • Experience working in an environment that requires adaptability, independent management of competing demands, and adjustments to frequent change.
  • Demonstrated administrative, organizational, and problem-solving skills.
  • Experience exercising sound judgment and discretion when working with confidential information.
  • Demonstrated commitment and promotion of justice, equity, diversity, and inclusion in the workplace.

Preferred Qualifications
  • Experience creating professional content and communications for diverse stakeholders and experience learning and matching the tone of executive leaders.
  • Event planning experience.
  • Experience in higher education, preferably within an administrative or academic unit.
  • Experience using financial, travel, HR, and other electronic systems, as well as electronic/virtual meeting software.
  • Ability to review existing processes and identify gaps, provide recommendations, build a strategy to solve, and then implement solutions.
  • Experience creating strategic communications content (copywriting, marketing, executive communications).
  • Evidence of technical writing and professional content creation.
