Office Manager

We are seeking a highly organized and detail-oriented Office Manager to join our team at Colorado State University. The successful candidate will provide administrative support to the Associate Deans and Directors, manage the day-to-day operations of the office, and ensure a smooth and efficient workflow.
Key Responsibilities- Provide high-level administrative support to the Associate Deans and Directors, including scheduling meetings, coordinating events, and preparing reports.
- Manage the office's calendar, including scheduling appointments, meetings, and events.
- Develop and maintain confidential administrative and academic records, including student records, faculty files, and personnel documents.
- Coordinate travel arrangements, including booking flights, hotels, and rental cars, and preparing travel authorizations and expense reports.
- Process general financial documents, including internal orders, disbursement vouchers, and purchase requests.
- Oversee the office's inventory, including ordering supplies, equipment, and services, and managing the office's budget.
- Provide exceptional customer service to internal and external stakeholders, including faculty, staff, students, and visitors.
- Bachelor's degree in a related field, such as business administration, communications, or a related field.
- At least two years of experience in an administrative assistant or support role, preferably in a higher education setting.
- Excellent communication and interpersonal skills, with the ability to work effectively with diverse groups of people.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
- Experience using CSU financial, travel, and computing systems, such as Kuali Financial System, Talent Management System, or other comparable systems.
- Experience using electronic/virtual meeting software, such as Teams, Zoom, or other comparable software.
- Ability to learn new skills and adapt to changing priorities and deadlines.
- Experience in a public or private higher education environment, preferably in a similar role.
