The Department of Pathology is looking for an Administrative Support Specialist to provide clerical assistance under general supervision, focusing on client relations, service delivery, and billing operations within the University of Iowa Diagnostic Laboratories (UIDL). This role encompasses a variety of responsibilities, including but not limited to: managing phone communications; addressing voicemail and email inquiries; overseeing client and accessioning discrepancies; coordinating the receipt and delivery of cases; maintaining inventory levels; and disseminating reports. Each task requires a series of steps and techniques that necessitate sound judgment and problem-solving abilities while collaborating within a dynamic team environment. This position operates on a full-time schedule, Monday through Friday, during the first shift.

Key Responsibilities:

  • Handle telephone communications and respond to voicemail and email inquiries promptly, showcasing effective and professional verbal and written communication skills.
  • Enhance client relations by managing client/patient databases, rectifying client and accessioning discrepancies, timely distribution of result reports, and generating client-specific requisitions.
  • Review, receive, and manage the delivery of anatomic pathology cases.
  • Oversee laboratory supply inventory and fulfill collection kit requests in collaboration with UIDL technologists.
  • Exhibit strong time management skills and comply with UIHC policies and best work practices.

Minimum Eligibility Requirements:

• A combination of relevant clerical office experience, related undergraduate education, and/or post-secondary clerical training equivalent to two years of full-time employment.

Desirable Qualifications:

  • One to two years of experience in customer service.
  • Experience in a laboratory (research or clinical) or hospital setting related to patient testing and/or billing.
  • Familiarity with laboratory information systems, particularly EPIC.
  • Experience with revenue cycle management software, specifically TELCOR.
  • Proficiency in Excel spreadsheets.
  • Experience with Outlook and email management.
  • Demonstrated ability to multitask and work effectively in a team setting.
