Position Overview:

The Elephant Butte Irrigation District is seeking a dedicated individual to provide comprehensive support in the procurement of goods and services for various departments. This role is crucial in ensuring compliance with the New Mexico State Procurement Code Regulations while delivering exceptional customer service to both internal departments and external vendors.

Key Responsibilities:

  1. Deliver professional customer service through effective communication with District management, employees, and vendors.
  2. Organize and maintain records of outstanding and completed requisitions, purchase orders, and returns, both manually and within the procurement software.
  3. Escalate complex issues requiring policy interpretation or specialized knowledge to Management.
  4. Acquire a thorough understanding of procurement processes as outlined by the New Mexico State Procurement Code.
  5. Facilitate the completion of purchase orders, manage vendor shipments, and ensure accurate documentation is provided to support procurement activities.
  6. Request quotes from approved vendors as necessary.
  7. Authorize purchases within designated limits.
  8. Address inquiries related to inventory and purchasing matters within the scope of authority.
  9. Assist in the receipt of goods, addressing any shipping discrepancies or product defects.
  10. Maintain a clean and organized warehouse environment.
  11. Perform accurate mathematical calculations and data entry tasks.
  12. Support periodic physical inventory checks and reconciliations.
  13. Ensure inventory stock is organized and in good condition.
  14. Utilize a District vehicle to pick up orders from vendors as required.
  15. Verify the return of cores.
  16. Adhere to all departmental and District policies and procedures.
  17. Maintain regular attendance during scheduled shifts.
  18. Collaborate effectively with team members to achieve departmental goals.
  19. Complete additional tasks as assigned.
Qualifications:

Candidates should possess a high school diploma or equivalent, along with knowledge and experience in New Mexico State Procurement Code Regulations and public sector purchasing preferred. A minimum of two years of experience in purchasing and materials management is desirable. Proficiency in data entry and MS Office software is required. An associate's degree or higher in a related field is preferred. Bilingual proficiency in English and Spanish is advantageous for effective communication.

Physical Requirements:

While performing the duties of this position, the employee must be capable of moving throughout the work environment and frequently lifting or repositioning materials weighing up to 50 pounds. Effective verbal and written communication skills are essential, as is the ability to operate office and warehouse equipment. The role may involve both indoor and outdoor work, with varying temperature conditions.
