Job Summary

We are seeking a highly skilled and detail-oriented Pharmacy Liaison to join our team at Friends For All. As a key representative, you will provide exceptional customer service to bridge the gap between pharmacy services and our telehealth program.

Key Responsibilities
  • Inventory Management: Manage inventory for all shipping-related supplies needed for pharmacy-related programs.
  • Pharmacy Restocking: Restock pharmacy as needed on all shipping supplies at the FFA Pharmacy.
  • Financial Reconciliation: Coordinate and reconcile pharmacy charge account and financial-related needs with external pharmacy partners, FFA CFO, and Sr. VP of Compliance.
  • Shipping and Delivery: Perform daily shipments of all medications/packages dispensed by the FFA Pharmacy Staff; print related mailing labels from external shipping partners; ensure delivery confirmation for external shipping partners.
  • Vendor Reconciliation: Reconcile invoices from vendors (i.e., FedEx, Telehealth Provider, etc.) and enter POs as available.
  • Compliance Audits: Perform regular compliance audit checks on all program-related items (i.e., medical records, program-related spreadsheets/databases, pharmaceutical purchase vendor invoices).
  • Inventory Updates: Perform regular inventory updates on pharmacy-related programs (internal & external) for tracking purposes.
  • Order Placement: Place orders through external pharmaceutical vendors as instructed by medical orders related to pharmacy infusion-based programs, and submit for approval/authorization by the Sr. VP of Compliance.
  • Communication and Collaboration: Meet as needed with external partners and FFA pharmacy teams to ensure program success and all parties have all services and items needed for success.
  • Data Reconciliation: Reconcile data sent through various venues (i.e., email, SharePoint, external vendor portals, external communication channels, database updates).
  • Database Management: Update databases, company records, and external vendor communication platforms as needed related to program clients.
  • Medical Record Management: Upload and coordinate with other FFA staff on patient medical records in compliance department servers.
  • Customer Service: Make pharmacy-related phone calls to program-related patients to confirm information, update regarding dispensing, and provide excellent customer service.
  • Follow-up and Communication: Make follow-up calls and emails as needed related to program-related patients to confirm information, update regarding dispensing, and provide excellent customer service.
  • Meeting Coordination: Assist Sr. VP of Compliance with coordination of meetings; program-related updates; tracking databases; and all program-related needs.
  • Communication and Collaboration: Assist Sr. VP of Compliance with coordination of communication with FFA staff, FFA pharmacy staff, and all external vendors related to pharmacy programs.
  • Daily Check-ins: Perform daily check-ins with FFA Pharmacy Manager and assigned pharmacist related to all patients and packages to be dispensed each day.
  • Integration and Buildout: Build and ensure integration works successfully with external shipping platforms.
Additional Responsibilities
  • Regular Attendance and Punctuality: Regular and predictable punctuality and attendance are required.
  • Communication and Response: Return all calls, emails, and texts in a timely manner.
  • Coaching and Development: Participate in weekly or biweekly coaching sessions with supervisors.
  • Performance Reviews and Goals: Complete Performance Reviews and SMART GOALS.
  • Team Meetings and Training: Participate in All Staff Meetings, In-Service Days, and Mandatory Trainings.
  • Travel and Transportation: May need to travel in personal vehicles to meet staff, clients, or community partners at FFA locations or at other locations to meet the needs of the position.
  • Job Responsibilities and Changes: Duties and responsibilities may be added, deleted, or changed at any time at the discretion of management, formally or informally, either verbally or in writing.
Qualification Requirements
  • Technical Skills: Efficient in Microsoft 365, Microsoft Word, Microsoft Excel, Adobe Acrobat.
  • Database Experience: Database buildout and management experience preferred.
  • Pharmacy Experience: Pharmacy-related experience preferred.
  • Financial and Reconciliation Experience: Financial and reconciliation experience a plus.
  • Communication and Interpersonal Skills: Good strategic/critical thinker, self-starter, goal-oriented; excellent verbal and written communications.
  • Problem-Solving and Critical Thinking: Ability to define problems, collect data, establish facts, and draw valid conclusions.
  • Confidentiality and Compliance: Maintain confidential information and adhere to all Friends For All policies and procedures regarding sharing of financial information and Protected Health Information (PHI).
Certificates, Licenses, and Registrations
  • Valid Driver's License: Must have a valid State Driver's License, provide proof of automobile insurance coverage to employer at all times, and have an automobile to be used daily.
