Overview


The Mechanical Systems Supervisor oversees the operations related to heating, ventilation, air conditioning, and plumbing. This role is essential in leading a team responsible for the installation, repair, and maintenance of mechanical systems.

The Supervisor collaborates closely with technicians and external contractors, ensuring that service demands are met while maintaining high levels of customer satisfaction and achieving departmental objectives.

As a senior representative of the organization, the Supervisor frequently interacts with clients, vendors, and suppliers to provide clear updates on project statuses and requirements.

Key Responsibilities

The Supervisor manages daily activities within the Mechanical and HVAC Departments by executing the following tasks:
  • Organizes, directs, and offers technical assistance to mechanical staff to fulfill service requirements and meet customer expectations.
  • Engages in the recruitment, interviewing, hiring, and training of technicians to align with workload demands and organizational standards.
  • Supervises technicians to ensure effective execution of equipment repair, installation, and operational duties, guaranteeing customer satisfaction.
  • Evaluates technicians' work to confirm adherence to quality standards, safety protocols, and recommends improvements for productivity.
  • Conducts performance appraisals for mechanical technicians and sets improvement objectives in line with company standards.

Training and Communication

Establishes a comprehensive training program to keep technicians updated on the latest service techniques and safety practices. Conducts both group and individual meetings for training, evaluations, and general communication, and participates in regular departmental safety meetings.

Maintains consistent communication with dispatch to ensure personnel are scheduled according to skill levels and training needs. Provides daily updates on project details, estimated completion times, labor hours, and materials used.

Maintains contact with vendors regarding warranty issues, product recalls, and operational challenges associated with products and equipment serviced by the department.

Financial Management

Develops and monitors budgets, goals, and objectives to ensure departmental profitability. Reviews work orders, invoices, and time reports for accuracy to maintain timely cash flow and minimize accounts receivable.

Ensures timely ordering of necessary parts to meet project deadlines and guarantees compliance with company policies among all HVAC technicians.

Stays informed on the latest factory training for current products, coordinates technician training, and maintains training records to ensure proficiency in maintenance, troubleshooting, and repair of equipment.

Project Management

Promotes and develops maintenance/service agreements, estimates, and generates bids for contract work. Manages larger installation and commissioning projects, coordinating a team of technicians and contractors, and performing pre-start inspections to ensure smooth handover of equipment.

Collaborates with other departmental managers to achieve company and departmental goals and objectives. Undertakes additional tasks as necessary to ensure efficient department operations.

Qualifications

Excellent customer service and sales skills are essential. Candidates should possess at least five years of experience in HVAC management or a related field, or an equivalent combination of education and experience. Post-secondary education from a college, trade school, or military training is preferred.

In-depth knowledge of HVAC and refrigeration systems is required, along with the ability to read and interpret manuals, schematics, and control circuits related to these systems.

Strong leadership skills are necessary to enhance team productivity and maintain high standards of work. Excellent verbal and written communication skills, along with strong conflict management abilities, are essential.

Detail-oriented and highly organized individuals with the ability to manage multiple tasks are preferred. Proficiency in common office applications such as MS Word, Excel, and Outlook is required.

Candidates should maintain a professional appearance and demonstrate a commitment to quality workmanship. A valid driver's license with a clean driving record is necessary, along with the willingness to work non-standard hours as required.
