Job Summary

We are seeking a highly skilled and detail-oriented Accounts Payable Specialist to join our team at Vaco. As an Accounts Payable Specialist, you will be responsible for preparing and processing accounts payable transactions, reconciliations, and journal entries. You will also be responsible for maintaining accurate and up-to-date financial records, ensuring compliance with company policies and procedures.

Key Responsibilities
  • Prepare and process accounts payable transactions, including batch check runs, wire transfers, and account clearing house transactions.
  • Perform daily, weekly, and monthly reconciliations of credit card transactions, general ledger transactions, and other financial records.
  • Prepare and process monthly journal entries into accounting software.
  • Ensure accurate and timely entry of invoices, vouchers, expense reports, and check requests into the financial system.
  • Act as the credit card administrator, responsible for ordering, coding, and disputing transactions.
  • Maintain vendor profiles and perform vendor maintenance tasks, including setting up new vendors and updating existing profiles.
  • Handle vendor correspondence via phone or email.
  • Investigate and resolve problems associated with processing of invoices.
  • Assist with monthly status reports and closings.
  • Process vehicle purchase functions, including processing third-party purchase orders, title and license charges, and manual checks.
  • Process vehicle citations and payments.
  • Receive, research, and resolve internal and external inquiries concerning account status.
  • Perform other duties as assigned by the Manager.
Requirements
  • Associate's degree or higher in accounting or a related field.
  • Proven accounting experience, preferably as an Accounts Payable Coordinator.
  • Familiarity with bookkeeping and basic accounting procedures.
  • Competency in Microsoft Office, databases, and accounting software.
  • Hands-on experience with spreadsheets and financial reports.
  • Accuracy and attention to detail.
  • Aptitude for numbers.
  • Ability to perform filing and record-keeping tasks.
  • Data entry and word processing skills.
