Position Summary - Administrative Support Specialist
In this role, you will provide essential clerical assistance, including typing documents, managing filing systems, and coordinating daily office activities.

Your responsibilities will include overseeing the recruitment, screening, and retention of caregivers, as well as collaborating with the RN to facilitate caregiver testing and skills assessments.

You will assist with scheduling adjustments for caregivers and client communications, participate in quality assurance reviews, team meetings, and training sessions.

Additionally, you will be part of the on-call rotation for after-hours inquiries and must be reachable via agency-required phone applications to ensure smooth daily operations.

Position Summary - Home Health Aide
Key Responsibilities:
  • Support clients in daily activities to promote independence in their homes.
  • Assist with personal care tasks.
  • Help with mobility, transfers, and range of motion exercises.
  • Manage meal planning, preparation, and feeding.
  • Oversee household needs effectively.
  • Provide companionship and respite services for families.
Reports To: Administrator & Alternate Administrator

Qualifications:
  • High school diploma; college degree preferred.
  • At least two years of experience in a business or healthcare environment.
  • Familiarity with medical terminology is preferred.
  • Proficient in English; Spanish proficiency is a plus.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to type a minimum of 50 words per minute.
  • Proficient in computer applications including Word, Excel, PowerPoint, Google Docs, and Spreadsheets.
  • Current BLS certification is a plus.
  • Florida CNA Certification or Home Health Aide certificate is a plus.

Essential Functions:
  1. Provide clerical support to management and supervisory staff.
    1. Prepare correspondence, reports, and medical Plans of Care.
    2. Schedule appointments and manage meeting room logistics.
    3. Update policies and procedures as directed.
    4. Generate statistical reports as needed.
  2. Maintain inventory of office and medical supplies.
    1. Establish reorder points and monitor supply needs.
    2. Ensure availability of necessary supplies.
    3. Prepare client charge slips for the billing department.
  3. Assist with billing processes.
    1. Support data entry for billing and payroll schedules.
    2. Maintain an up-to-date admission log.
    3. Input new client information into the system.
  4. Manage client database effectively.
  5. Respond to incoming referrals for clients and caregivers.
  6. Assist with the hiring process for direct care staff.
    1. Conduct initial telephone screenings and arrange interviews.
    2. Request references for applicants.
    3. Provide orientation and training for new clerical and direct care staff.
    4. Oversee remote training as required.
    5. Conduct background checks on new applicants.
    6. Maintain employee files and report any missing documentation.
  7. Perform duties in compliance with agency policies and community standards.
    1. Accept responsibility as an Administrative Support Specialist.
    2. Ensure compliance with applicable laws.
    3. Attend required meetings and educational programs.
    4. Participate in quality improvement activities.
    5. Maintain confidentiality in all job aspects.
  8. Communicate necessary information to supervisors and management.
    1. Attend clinical staff meetings to relay information.
    2. Contact clients, referral sources, and families as directed.
    3. Assist with filing documentation in clinical records.
    4. Collaborate with other departments to ensure task completion.
    5. Perform additional duties as required.
