Reports To: Administration Supervisor

Overview:

The role encompasses routine clerical responsibilities of a highly procedural nature, including organizing, categorizing, and performing numerical calculations, as well as maintaining records and operating office machinery. This position provides assistance to the Billing Supervisor and Operations Supervisor with various tasks while maintaining close communication with our clientele.

Key Responsibilities:

  1. Facilitates the check-in process for drivers upon their arrival at our facilities and collaborates with dock personnel to assign loading or unloading doors.
  2. Conducts clerical tasks such as inputting orders and receipts into our Warehouse Management System (WMS).
  3. Generates all necessary documentation for the unloading and loading of vehicles, including pick tickets, check sheets, lot labels, putaway sheets, bills of lading, and receipt notices.
  4. Works in conjunction with operations to produce special request documents and manage inventories.
  5. Organizes and files documents by customer and date.
  6. Handles telephone inquiries and personal requests, directing visitors and calls to the appropriate personnel, and scheduling appointments for inbound and outbound carriers.
  7. Utilizes various office equipment efficiently.
  8. Sorts and files correspondence, reports, and other materials according to established classification systems.
  9. Collaborates with operations to ensure that necessary supplies are adequately stocked.
  10. Performs clerical duties such as entering orders and receipts into dedicated WMS systems for customers, when applicable.
  11. Reviews all documentation to ensure compliance with Standard Operating Procedures (SOPs).
  12. Ensures that cycle count reports are printed daily in accordance with SOPs, counted, and signed by the supervisor of each facility.

Qualifications:

Education and Experience:

High school diploma with a minimum of two years of general clerical and customer service experience in a warehouse setting; or an equivalent combination of education and experience that provides the necessary knowledge, skills, and abilities.

Skills and Abilities:

  • Familiarity with business communication practices.
  • Understanding of office procedures and methodologies.
  • Experience in a warehouse environment utilizing Warehouse Management Systems.
  • Proficient in operating a variety of modern office equipment, including computers and other electronic devices; capable of typing.
  • Able to perform clerical tasks of standard complexity.
  • Competent in writing clearly, using proper grammar and punctuation, and following both oral and written instructions.
  • Capable of maintaining focus on routine tasks for extended periods as required.
  • Detail-oriented with a strong emphasis on accuracy.
