Job Summary

The Staffing Coordinator - Program Support Specialist is a critical member of the Think Together team, responsible for partnering with the General Manager and the Talent Acquisition Department to deliver positive results throughout the hiring process.

Key Responsibilities:
  • Oversee the collection and reporting of employee data supporting Think Together programs, including supplemental staffing needs and long-term planning for concurrent programs in the Region.
  • Proctor and grade pre-employment tests to ensure accurate and efficient hiring process.
  • Conduct Live Scans for new hires to ensure compliance with background check requirements.
  • Support recruiters in the onboarding process of new hires, ensuring a smooth transition into the organization.
  • Manage scheduled interviews and/or assessments with candidates and Site Coordinators, Quality Assurance Coaches, and Hiring Managers to ensure timely and effective hiring process.
  • Maintain staffing charts, supplemental staffing charts, and recruiting reports to provide data-driven insights for program development.
  • Place new hires in appropriate school sites based on current needs of the region, ensuring optimal program delivery.
  • Update and maintain candidate status in the Applicant Tracking System to ensure accurate and up-to-date information.
  • Coordinate activities between Program Departments and the Regional Hub office, working collaboratively with regional and program staff to support staffing needs.
  • Attend and participate in meetings and training with TA, Regional Hub, and Program teams to stay informed and aligned with organizational goals.
  • Organize work to ensure deadlines are met, completing tasks on time and communicating candidate status with hiring managers and other essential parties.
  • Serve as back-up for the Sub-Coordinator with the placement of substitutes and may serve as back-up for the Human Resources Coordinator for new hire paperwork or orientation.
Requirements:
  • Strong computer skills, including proficiency with Word, Excel, PowerPoint, and Outlook.
  • Excellent interpersonal and team building skills, with the ability to work collaboratively with diverse stakeholders.
  • Flexible and adaptable, with the ability to alter according to changes in projects or business needs.
  • Ability to multi-task, work in a fast-paced environment, and prioritize workload effectively.
  • Strong organizational skills, with the ability to relate data to business and operations metrics.
  • Ability to work in a team environment and independently with minimal supervision.
  • Organized, focused on details, and able to change and adjust according to changes in projects or business needs.
  • Demonstrated cross-cultural sensitivity, with experience working with people of diverse backgrounds.
  • Ability to complete multiple tasks with accuracy, shifting from one to another with frequent interruptions and competing deadlines.
  • Strong attention to detail and follow-up skills required.
  • Strong written and verbal communication skills, with the ability to provide ongoing support to other Staffing Coordinators and TA Team as needed.
Education and Experience:
  • Two (2) years college degree or equivalent experience.
  • High volume administrative experience a plus.
  • Innovating user of Applicant Tracking Systems, Survey Monkey, and ADP workforce preferred, or prior HRIS systems experience.
  • Knowledge of and experience with data management and various analytic tools.
