Established in 1981, CMAA has been a cornerstone of the community, providing programming for generations of low-income youth, adults, and senior citizens.
Job SummaryWe are seeking a mission-driven Assistant Manager of Adult Education and Workforce Development to provide administrative support to CMAA's Adult Education and Workforce programs. The Assistant Manager will assist in managing program staff, coordinating efforts and oversight of partner agencies' adult education programming, and developing and implementing streamlined processes for programmatic activities.
Key Responsibilities- Department Supervision
- Assist the manager in the hiring, onboarding, and offboarding of team members.
- Lead regular individual and team check-ins to provide updates, offer support, and address any issues.
- Coach team members to enhance program outcomes and support their professional development.
- Assist in conducting mid-year and annual performance reviews, and review and approve time off requests and time cards.
- Collaborate and lead the development and organization of the annual internal professional development programs to support team members' skill development.
- Ensure that team members adhere to internal policies, procedures, and relevant regulations.
- Program Management Support
- Assist the manager in developing detailed work plans to guide the team's programmatic functions.
- Support the manager in setting and maintaining department budgets, ensuring financial resources are effectively utilized.
- Progress Reporting: Collect and aggregate program data for reporting purposes.
- Strategic Planning
- Assist in organizing annual team retreats for mission and vision realignment.
- Participate in annual operational planning and program review sessions with Coordinators and Supervisors.
- Funder Communication and Liaison
- Schedule and host funder site visits, and gather documentation for audits.
- Explore new funding opportunities and present potential leads to the Development Team.
- Adult Education
- Participate in collaborative network meetings with peers, such as the Northern Illinois Directors meetings.
- Support the development and maintenance of Adult Education consortium standards.
- Review findings from the Compliance Coordinator and follow up with consortium partners as needed.
- Workforce Development
- Participate in, for example, DFSS Community Block Development Grant (CDBG) quarterly meetings and other relevant funder meetings.
- Support the Senior Coordinator in monthly metrics reporting and handling DFSS-specific vouchering processes as needed.
- Bachelor's degree in a related field.
- 1 to 3 years of experience in a supportive leadership role, demonstrating capability in operational tasks and assisting in program management.
- 1 to 3 years of experience at a Community-Based Organization or Non-profit setting is preferred, but not required.
- Experience building relationships with a wide variety of stakeholders including other Community-Based Organizations, Grant Funders, and Local Businesses.
- Demonstrated commitment to working with Limited English Proficient populations.
- Track record of maintaining data integrity and quality for reporting.
- Experience with grant reporting to external funders.
- Fluency in a second language is preferred, but not required.
This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
Physical DemandsThis is a largely sedentary role, however, some filing is required. This could require the ability to lift files, open filing cabinets, and bend or stand on a stool as necessary.
