Job Description

We are seeking a highly organized and detail-oriented Real Estate Services Administrator to join our team at Spectraforce Technologies. The successful candidate will provide administrative support to the Real Estate Management Team, ensuring the smooth operation of our real estate services.

Key Responsibilities
  • Provide administrative support to the Real Estate Management Team, including phone support, correspondence, and expense reporting.
  • Maintain tenant, vendor, and property files, including insurance certificates and lease abstracts.
  • Assist with tenant and vendor customer service, including responding to inquiries and resolving issues.
  • Perform a variety of administrative tasks, including calendar and scheduling, meeting coordination, and filing and copying.
  • Work with Building Technician staff and vendors to compile a list of maintenance items and coordinate work assignments.
  • May open work orders and coordinate the status of work assigned to vendors.
  • Coordinate tenant events and appreciation, and assist with the publication and distribution of the tenant newsletter.
  • May initiate rent collections correspondence and phone contact with tenants, as permitted by state regulations.
  • Assist with budget preparation, including researching costs for supplies and services and obtaining bids.
  • Comply with bid process guidelines and assist with the preparation of monthly and quarterly management reports.
  • Administer accounts payable and accounts receivable, including coding invoices for payment and inputting into the accounting system.
Requirements
  • Minimum of three years of related experience and/or training.
  • Ability to comprehend and interpret instructions, short correspondence, and memos, and ask clarifying questions to ensure understanding.
  • Ability to write routine reports and correspondence, and respond to common inquiries or complaints from clients, co-workers, and/or supervisor.
  • Ability to effectively present information to an internal department and/or large groups of employees.
  • Basic knowledge of financial terms and principles, and ability to calculate simple figures such as percentages.
  • Ability to understand and carry out general instructions in standard situations, and solve problems in standard situations.
  • Basic analytical skills, and intermediate to advanced skills with Microsoft Office Suite.
Working Conditions

The Real Estate Services Administrator will work in a fast-paced office environment, with frequent deadlines and multiple priorities. The successful candidate will be able to work independently and as part of a team, and will be able to communicate effectively with clients, co-workers, and supervisors.

The Real Estate Services Administrator will be required to maintain confidentiality and handle sensitive information with discretion.
