ROLE PURPOSE:

To manage and execute all facets of back office operations, ensuring consistent and friendly customer service in alignment with company objectives and standards. This role provides essential administrative support across all business areas while maintaining communication with the sales team.


KEY CAPABILITIES:

  • Proficient in office technology, including MS Office Suite.
  • Familiarity with accounting software; experience with QuickBooks Online is advantageous.

PRIMARY RESPONSIBILITIES:
  • Manage Accounts Receivable and Accounts Payable.
  • Respond to phone inquiries, distribute messages, and follow up on communications.
  • Prepare and send introductory materials to customers prior to appointments.
  • Document appointment details for customer reminders and maintain lead sheets.
  • After scheduling jobs, send necessary packets to customers, including contract requests and color selections.
  • Send thank-you gifts for referrals and keep accurate records.
  • Update and maintain the customer database.
  • Compile production, sales, marketing, and meeting reports to support business functions.
  • Oversee vendor and client management, including payment processing.
  • Facilitate employee onboarding and payroll processes.
  • Track sales commissions and related metrics accurately.
  • Conduct marketing activities such as research, printing, and mailing promotional materials.
