Reports to: Practice Manager

FLSA Status: Non-Exempt

Key Responsibilities

The primary role of the Treatment Coordinator (TC) is to effectively communicate treatment options and associated financial responsibilities to patients. The TC serves as a vital link between the healthcare provider and the patient, responsible for gathering essential information during the new patient experience, coordinating treatment plans, and presenting them clearly to patients.

Specific duties include, but are not limited to:

  • Optimizing the provider's schedule for efficiency
  • Possessing comprehensive knowledge of treatment options and timelines, while negotiating financial arrangements to enhance patient acceptance
  • Presenting and finalizing treatment plans, ensuring thorough documentation and record-keeping
  • Calculating and collecting copayments accurately; managing certain internal accounting tasks to support the practice's profitability goals
  • Contacting insurance providers to verify patient benefits, ensuring all requirements are met for accurate collections
  • Maintaining a 95% appointment confirmation rate
  • Responding to incoming calls and ensuring timely follow-ups
  • Creating a supportive environment to address patient concerns regarding treatment and affordability
  • Performing additional duties as assigned

Qualifications and Skills Required

  • High School Diploma or equivalent
  • Minimum of 2 years of experience in the dental field
  • Clinical background or insurance experience is advantageous
  • Thorough understanding of dental procedures and the ability to explain them in layman's terms
  • Exceptional interpersonal and customer service skills
  • Self-motivated individual with strong influencing and negotiation capabilities
  • Proficient in basic computer applications and quick to learn new software
  • Ability to perform basic arithmetic for understanding financial documents and insurance benefits
  • Familiarity with ADA codes
  • Ability to work effectively within a team

Physical Requirements

Ability to sit, stand, or walk for extended periods.

Ability to wear a facemask for prolonged durations.

Work Environment

This position is based in a dental practice setting.
