Contracted Administrative Support Specialist – Remote or Southwest Florida
Part-time Position (approximately 15 hours per week)


Position Summary
The Administrative Support Specialist collaborates closely with a local Eminence Outside Sales Representative (OSR). The OSRs are independent sales and training representatives for Eminence Organic Skin Care, operating their own business entities. This role is designed to deliver essential administrative assistance and partner with the OSR to enhance existing Spa Partner accounts while identifying new business opportunities. The Administrative Support Specialist will work in tandem with the Outside Sales Representative and the Eminence Central Office in Vancouver to ensure exceptional business support and outstanding service to Eminence Spa Partners.


Key Responsibilities

  • Maintain comprehensive records of all on-site training sessions within the Eminence Customer Relationship Management (CRM) software as directed by the OSR.
  • Oversee and manage the inbox effectively.
  • Facilitate the submission of post-training feedback and surveys.
  • Coordinate the training calendar and confirm training sessions with the OSR.
  • Ensure timely submission of the monthly training calendar.
  • Create and share engaging content for social media platforms.
  • Participate in regularly scheduled calls and meetings with the OSR.
  • Distribute monthly business reviews to spa partners.
  • Regularly update Eminence maps.
  • Adhere to the guidelines established in the Eminence Sales Handbook and any additional policies set forth by the OSR.
  • Engage in conference calls with the Eminence Central Office.
  • Attend the Eminence Annual Business Conference for professional development.
  • Compile and send monthly mid-month gap lists to drive sales and support the Eminence Loyalty Program.
  • Ensure monthly business reviews are dispatched to Spa Partners on the first of each month, including valuable service suggestions and retail insights.
  • Analyze data from Klipfolio to create mid-month gap lists, identifying areas for improvement towards month-end goals.
  • Collaborate with the OSR to evaluate opportunities within the region.
  • Manage quarterly communications to Spa Partners.

Qualifications

  • At least 2 years of experience in office administration.
  • Experience in sales support or customer relationship management is a plus.
  • Proficient in managing calendars, scheduling, and coordinating meetings.
  • Experience with social media management is advantageous.
  • Excellent written communication skills in a business context.
  • Strong time management abilities.
  • Exceptional customer service skills.
  • Proficient in Microsoft Office Suite (Excel, Outlook, and Word).
  • Basic bookkeeping knowledge is beneficial.
  • Able to prioritize tasks and make quick decisions.
  • Highly organized, proactive, and detail-oriented.
